Job Description - Administrative Coordinator

Job Title: Administrative Coordinator
Salary: $65-$75K

Company: Rockville, MD (Crabbs Branch/Shady Grove)
Hours: Monday - Friday, 7:30 am - 4:00 pm

Company Overview: Our client is a specialized service dedicated to project controls within the construction industry. Our mission is to ensure the timely and budget-conscious completion of construction projects through industry-standard practices, integrating Critical Path Method (CPM) scheduling with cost and risk management. We provide comprehensive scheduling solutions, utilizing various software tools to monitor and report on project progression, ensuring clients are informed promptly on any events or potential issues.

Job Duties: As an administrative coordinator, you will play a vital role in ensuring the efficient operation of our office. The role encompasses a range of responsibilities, including:

  • Administrative Support::

    • Assist with answering incoming phone calls as needed.
      Greet and assist guests for on-site meetings.
      Prepare conference rooms for meetings.
      Order supplies for the office.
      Confirm meeting schedules and calendars.
      Handle project-related administrative tasks.
  • Assist with Project Scheduling:

    • Collaborate with project teams for scheduling tasks.
      Assist with claims work and proofread reports.
      Create and maintain Excel spreadsheets for projects.
      Provide monthly updates on project statuses.
  • Website and Report Updates:

    • Update the company website as needed.
      Proofread and bind reports for presentations.
  • Software Utilization:

    • Learn specialized industry software, as well as Microsoft Excel, Word, Adobe, and other tools used in project controls.

Qualifications:

  • 2+ years of administrative experience.
    Excellent computer skills, including proficiency in Microsoft Office (Excel, Word, Adobe).
    Experience in writing ad-hoc reports.
    Associates or Bachelors degree a plus
    Clean criminal background required
