Position Description Advertised Job Summary Coordinates overall administrative and business management tasks, as well as support activities for the Center; serves as IT and facilities contact and HR liaison; collects and distributes mail; provides data entry support , assists with supply procurement, organizes events, meetings and taking minutes, oversees Outlook calendars, makes travel arrangements, serves as time and labor facilitator and manage program stipends, purchasing card and reimbursements. Minimum Qualifications Bachelor's degree which may be substituted by equivalent combination of certification, training and/or experience working in an office setting. Preferred Qualifications Administrative support and office setting work experience, data entry, Microsoft Office applications, general HR practices as well as time and labor system facilitation. Prior experience working in an office setting helpful. Knowledge/Skills/Abilities Familiar with computer applications, data entry, document-tracking, calendar management, meeting and event planning, good communication and organizational skills, ability to multi-task. Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations. Job Duties Job Duty Coordinates administrative, business management, and/or support activities for the Center. Manages the calendars and scheduling. Coordinates Director's Outlook calendar and scheduling. Assists program and grant manager's scheduling for Center programs, meeting, and project consultations. Assists with program logistics, to include in-person or virtual meeting set-up (food, IT setup, etc.), develops agendas, and communicates with and coordinates potential presenters. Takes meeting minutes, files, organizes information in Center tracking documents and Microsoft Teams channel. Assists with various timelines (tracking and reminders). Essential Function Yes Percentage of Time 30 Job Duty Performs activities related to fiscal management, procurement, supply services, and auxiliary services for the Center. Manages the department's purchasing card, ordering (supplies, catering, etc.), travel arrangements, program stipends, and reimbursements. Supports Center team in event logistics, to include event venue registration and rental paperwork, event catering logistics, and event task tracking. Responsible for collecting Center mail and distributing to team. Essential Function Yes Percentage of Time 30 Job Duty Serves as the HR Liaison. Organizes HR documentation and schedules new hire interviews/onboarding. Collaborates closely with SOMC HR Office to coordinate all personnel activities for the Center. Serves as the PeopleSoft Time and Labor System facilitator. Serves as the Center's IT and facilities liaison. Essential Function Yes Percentage of Time 20 Job Duty Aids the Operations Manager in Center logistics, operations, and other administrative tasks. Supports the SC Rural Loan Program administration, to include emailing participants reminders to complete forms, updating program tracker information, and communicating with loan company, as needed. Provides support to Fiscal Operations Analyst in data entry to financial database to ensure accurate reporting.
