ADMINISTRATIVE & EVENTS COORDINATOR

Bring your attention to detail, organizing strengths, and fresh ideas to help local businesses thrive! We're looking for a friendly person to help us keep the Chamber's daily operations on track while making sure our exciting events continue to be big hits with our members, like Ladies Night Out, the AMIGO Day Golf Tournament, and the Leadership Austin program. In this public-facing role, you will get to know a lot of people in the Austin area, from business owners to community leaders. So far so good? Let's dive in!

POSITION OVERVIEW

The Administrative & Events Coordinator works primarily in the organization of major events, general office duties and assisting Chamber staff with activities and events as needed. This is a critical role to helping the Chamber succeed in its mission to BUILD, PROMOTE, and ADVOCATE for local businesses.

  • WHO'S THE BOSS? This position reports to the new Chamber President/CEO.
  • WHAT ARE THE HOURS? The Chamber hours are 8 AM to 4 PM, Monday through Thursday, and 8 AM to 3 PM on Friday; however, you should expect to work the occasional evening or to go beyond posted hours to support specific events. But don't worry—we allow flexibility, and then there is the HUGE amount of fun we have!
  • AM I QUALIFIED? Qualifications for the position include excellent communication and organizational skills, knowledge of the community and all Chamber programs/services. This position offers the opportunity to gain knowledge and skills related to Chamber of Commerce work, which involves extensive contact with business leaders and the general public. A positive attitude and enthusiasm for keeping things on track are more important than a degree for this role!

SPECIFIC DUTIES INCLUDE

  • CHAMBER AMBASSADORS . Our Chamber Ambassadors are a high-energy and highly visible group of volunteers who help promote our members and events. You would manage all Chamber events related to them (like ribbon cuttings) and other activities of the Chamber Ambassadors, attending all meetings and activities. You would prepare and send out agendas, attendance, minutes and all correspondence to the Ambassador team. You would schedule & coordinate ribbon cuttings with members. You'll also get to work with the Ambassadors to organize the AMIGO Day golf outing and the Chamber’s annual meeting. Assist and coordinate other events as they arise.
  • CHAMBER EVENTS . Serve as the primary staff person for organization and coordination events, including but not limited to fundraising, committee organization, marketing, and scheduling. Works closely in partnership with all staff in the organization of events and communicates plan development and progress. Develops team concepts that coordinate efforts between all staff and volunteer committee members.
  • LEADERSHIP AUSTIN : Serves as the Chamber representative for Leadership Austin. Attend all monthly day sessions starting with the event social in August, work with Day Leaders on agendas. In charge of logistics (food, transportation, location) for the day. Attend Day Leader monthly meeting to prepare for following session.
  • BUSINESS AFTER HOURS : Attend and assist with registration at Business After Hours monthly networking event and other Chamber events.
  • RECEPTION : Greet and assist membership and other visitors to the Chamber office and field incoming phone calls at the Chamber.
  • MEMBERSHIP SUPPORT : Work with Chamber President & CEO to develop relevant member information packets for prospects and existing members.
  • STAFF SUPPORT: Assist Chamber President & CEO and other staff, as needed.
  • Other duties as assigned.

REQUIRED SKILLS

  • Excellent communication skills, both written and oral.
  • Detail oriented and accuracy are required.
  • Computer proficiency with Microsoft Office and database software.
  • Organizational skills, including recruitment and direction of volunteers.

PAY RANGE

This position is fulltime, Monday through Friday, with an hourly rate of $18 to $22, depending on qualifications.
