Today, faculty of Berkeley Wildlife aim to provide cutting-edge, solutions-oriented, and interdisciplinary research, while training the next generation of scientists and professionals to tackle complex problems in wildlife ecology, management and policy. Our faculty and students generally emphasize the study and management of vertebrate species that provide significant ecosystem services to humans, including economic and cultural value, and often work on research with a variety of external partners at the local, state and federal level. Application Review Date The First Review Date for this job is: 05/02/2023. Responsibilities

  • Provide routine operational support to 4-5 core faculty and their research groups, and occasional support to affiliates, including but not limited to: finance, human resources, purchasing, reimbursement, space planning, student services, communications and outreach (internal and external).
    • Examples include helping faculty track student funding needs, gathering materials to establish vendor relationships and contracts, advising students on how to get reimbursed for a particular activity, or fielding inquiries from partner organizations about potential collaborations.
  • Work with faculty and research administration to help prepare and submit grant proposals, manage budgets, resolve financial discrepancies, and monitor project expenditures.
    • With faculty leading proposals, provides budgetary research and text editing support and liaises with research administration to ensure materials are in order and submission timelines are met.
    • On larger or more complex grants, assists faculty and research administration to ensure grants and project spending are properly aligned.
  • Assist with project reporting by advising faculty and students to ensure that documents required by program sponsors are prepared in accordance with established deadlines and procedures.
    • Maintains relationships and systems needed to routinely monitor grant reporting requirements.
  • Assist faculty to develop and implement annual reporting on Berkeley Wildlife activities and findings, as well as create and maintain a program website.
    • Researches and develops annual report template(s), coordinates and advises faculty on information needs, collates information into drafts, and coordinates editing and design to complete a finished product.
    • Identifies improvements that can be made to program website (e.g., based on common external inquiries) and routinely updates news section of website with key developments from each research group.
  • Assist faculty and students to coordinate a weekly seminar series as well as occasional meetings, social events and workshops.
    • Obtains guidance from faculty and students on seminar invitees, facilitates invitations, serves as a point of contact, maintains online seminar/event calendar, and helps process honoraria and/or travel reimbursements.
    • Supports students in planning and resourcing community-building events.


Required Qualifications

  • Thorough knowledge of and/or can quickly learn University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of and/or can quickly learn common University-specific computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees.
  • Excellent organizational and interpersonal skills, administrative experience, aptitude for problem solving, data management.
  • Experience with financial management, purchasing, and expenditure.
  • A demonstrated ability to work independently and as part of a team.
  • Bachelor's degree in related area and/or equivalent experience/training.


Preferred Qualifications

  • Adaptability to the dynamic needs of faculty and students leading multi-partner and field- oriented research.
  • Prior experience working with university faculty and students.


Salary & Benefits This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid hourly and eligible for full UC Benefits. For information on the comprehensive benefits package offered by the University, please visit the University of California's Compensation & Benefits website. Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $28.83 (Step 1) - $39.47 (Step 15). How to Apply
