Job Description - Administrative Project Specialist

Administrative Project Specialist Location Bloomington, IL : Advertisement Position Announcement Full Time Administrative Project Specialist Starting hourly rate: $19.66 Work schedule: Monday - Friday, 8:00 am - 4:30 pm (in person) Position Summary Under general supervision, the Administrative Project Specialist performs a variety of complex tasks to support the functions of the County Administrator"s office. Duties typically require a greater degree of problem-solving judgement, professionalism, and communication. The Administrative Project Specialist will be the first point of contact for individuals visiting or calling the County Administrator"s office. Contact with the public is a major component of this position, requiring excellent customer service skills and involves both internal and external contacts. This position must maintain strict confidentiality concerning all correspondence and job-related activities. In addition to daily administrative tasks, there are opportunities for additional project work based on individual qualifications and interests. About the McLean County Administrator"s Office This office is responsible for overseeing the day-to-day business of McLean County Government. Under the direction of the County Board, the county administrator and their staff maintain and enforce policies; prepare the annual budget totaling over $146 million; research and plan projects related to the budget and other areas; identify and respond to long- and short-term planning of all County departments. Human Resources and the Civil Division of the State"s Attorney"s Office are part of this team. To learn more about the services McLean County Government provides the community, please visit Essential Duties and Responsibilities Professionally answer, screen and forward incoming phone calls to the County Administrator"s office Professionally interact in person, by telephone, and written correspondence with the public, County staff, and staff of other jurisdictions; provide information on County departments and specific programs Review, code, and process invoices for the County Administrator"s office Inventory, purchase, and process office supplies Open, sort and deliver mail daily Receive and process applications for raffle licenses Maintain records, perform data entry, and create reports ensuring accuracy and proper grammar Coordinate Government Center meeting room schedules for County departments Provide backup support for the County Board Recording Secretary Assist with County-wide purchases Assist the County Executive Coordinator and Records Management Coordinator with projects Performs related work, as assigned Knowledge, Skills, and Abilities Ability to use discretion and maintain confidentiality Strong interpersonal skills and ability to handle issues with respect, integrity and sensitivity Ability to interact with the public and provide information in a polite and efficient manner, both in person and on the telephone Ability to provide high-level customer service to visitors and staff Skilled in active listening Ability to manage one"s own time efficiently Ability to effectively resolve conflict and diffuse difficult situations Ability to establish and maintain effective working relationships with co-workers, various external contacts, and the public Required Qualifications High school graduation, or possession of a GED Certificate 2-3 years of experience in an administrative support function, related to "front office" administration Proficiency in Microsoft applications, including Outlook, Word, Excel, and PowerPoint Demonstrated excellence in written/verbal communication and professional presence Must be self-directed and possess problem-solving skills Must be organized and able to multi-task in a fast-paced work environment Preferred Qualifications Bachelor"s degree Proficiency in Microsoft Teams Proficiency in Adobe software products, such as Illustrator, InDesign, and/or Acrobat Pro Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires sitting (5-8 hours daily), standing/walking (1-3 hours daily) and may experience occasional standing, walking, stooping, kneeling, reaching, lifting, and repetitive motion - use of the wrists, hands, and fingers. Defined as sedentary work - exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, and pull of objects. Sedentary work involves sitting most of the time. Close visual acuity required to perform activities such as preparing and analyzing data and figures, viewing a computer terminal.
