Assistant Property Manager - Commercial Class A Office
Direct Hire; $65K-$70K plus 5-10%. Salary position
Louis Park, MN 55416
Job Description
The Assistant Property Manager is responsible for the administration of all tenant leases, billing and collecting tenant receivables, maintaining accurate tenant and vendor certificates of insurance, performing inspections to oversee vendor service contracts for janitorial, landscaping and security contracts, and assisting the property manager in preparing monthly/quarterly financial reports and annual budget preparation.
ESSENTIAL FUNCTIONS
·Compile and maintain complete lease files on all tenants including tenant move-in information and accounting correspondence.
·Maintain original leases and renewals in Management Office.
·Working with Property Manager, coordinate building events and establish building services for property tenants.
·Maintain tenant relations with regular tenant visits and phone calls.
·Distribute all new move-in information to tenants upon lease execution and arrival in building.
·Assist in leasing efforts with Leasing Agent and Property Manager and show available space and copying space plans for prospective tenants.
·Become proficient using building work order/preventative maintenance software.
·Work with building staff, update work order software to insure work orders are completed in a timely and thorough manner.
·Code and enter for payment processing all invoices received on a weekly basis.
·Assist Property Manager in preparing annual operating estimates and annual expense reconciliations and submitting to Accounting and Tenants for billing and collection.
·Assist Property Manager in compiling competitive bids and completing contracts for building support services.
·Obtain and maintain current certificates of insurance for all vendors performing labor at the property, and coordinate with Accounting.
QUALIFICATIONS
·Knowledge of multiple PC software packages such as Microsoft Excel, Word, PowerPoint, and Adobe Acrobat
·Detail oriented with excellent office skills including typing and proofreading.
·Excellent organizational, communication (written/oral), and interpersonal skills.
·Ability to manage changing priorities, meet deadlines, work independently, and follow through on assignments with little direction.
·Ability to maintain a high level of confidentiality.
·Demonstrate effective and professional conflict resolution and customer service skills for interaction with tenants, vendors and co-workers.
