This is a Full Time position for Immediate need in the current '23-'24 Academic School Year and beyond.
POSITION SUMMARY
The Back Office Assistant is primarily responsible for Financial Data Entry and Record Management within a Christian school office environment. The ideal candidate must possess experience with office coordination, accounting functions, administrative tasks, and record keeping. The candidate should have organizational and time management skills, as well as the ability to provide support for the overall success of Heritage Christian School. They must be able to communicate effectively to staff, parents, and students in a professional manner.
ESSENTIAL SKILLS
· Strong organizational and time management skills with attention to detail.
· Excellent interpersonal skills and written/verbal communication skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
· Proficient with Microsoft Office Suite.
· QuickBooks experience required.
· Knowledge of office practices, basic bookkeeping, and basic accounting clerical methods.
· Must be professional and courteous with all students, staff, parents and visitors.
· Must be a self-starter, self- driven and able to manage their work efficiently.
· Proven ability to maintain and preserve confidentiality.
· Must have an active driver's license and a good driving record and be able to pass a background check and drug screen.
· Maintains a workspace environment that is orderly and productive.
Preferred: Bachelor's degree with 2+ years of related experience
Required: High School diploma required; with 3+ years of related equivalent professional knowledge and/or work experience
RESPONSIBILITIES
· Provide comprehensive skills including accounting tasks, communication assistance, HR coordination, meticulous file maintenance, and successful completion of special assignments to enhance operational efficiency.
· Performing essential accounting functions in QuickBooks including employee payroll, accurate bill entry, timely bill payments, check entry, and thorough reconciliation processes to ensure financial accuracy and integrity. Knowledge of QuickBooks is a must.
· Execute general office functions maintaining student and family records, as well as, sending and processing student files.
· Manage intake and transfer requests of cumulative records for all students.
· Ensure the maintenance of adequate and accurate student records in accordance with N.C. State policies and procedures.
· Must have problem solving skills and ability to remain professional in conflict.
· Manage and maintain scholarships, keeping up with deadlines, and new candidates.
· Other clerical duties as assigned by Administration.
· Assist and/or manage ad hoc tasks and arising administrative duties as needed.
Personal & Spiritual Responsibilities:
· Must be able to agree and comply with the school's Statement of Faith and Employee Handbook.
· Must display professionalism in personal decorum of modesty, and good taste.
· Must maintain good attendance and able to fulfill job duties
· Must be proficient in office and phone etiquette with a positive and cheerful attitude.
