Church Office Administrator Location Seattle, WA (East Queen Anne area) :
POSITION DESCRIPTION
Queen Anne Baptist Church (QABC) is looking for a responsible, proactive Church Office Administrator to provide administrative, technical, and financial support for the Church, ensuring effective work flow and smooth daily operation. Supporting the Senior Pastor, staff, and members of QABC, the Church Office Administrator supports and helps carry out the mission and vision of QABC by managing the duties of the church office, organizing and coordinating all communication needs, general daily operations, accounts receivable, updating databases, managing the church calendar and schedule, and other office duties as assigned by the Senior Pastor.
JOB RESPONSIBILITIES AND DUTIES
Admin and Online/Social Media Support
- Direct the daily administrative operation of the church office. Alleviate administrative tasks from the senior pastor.
- Coordinate events that happen in the church building. Create and send invoices to building partners/external parties for room use rentals. Keep track of invoice payments.
- Manage room reservations and set up needs for ministry programs and special events.
- Maintain and coordinate the church calendar, including others that use the building.
- Distribute and track building key assignments.
- Communicate with vendors/building partners/external partners via phone and email/
- Communication of weekly prayer requests (to Senior Pastor and for worship announcements).
- Navigate resources and connect low income and houseless community members to community resources and services to foster stability and well-being.
- Work with the Sexton and Property Chair to schedule inspections, maintenance and contractors.
- Keep track of inspection permits and subscriptions.
- Support special Sunday worship projects.
- Answer office phone and respond to voicemails. Open and distribute mail.
- Keep essential office supplies in stock. Purchase supplies, equipment, and furniture staying within budget, with pre-approval received from leadership council.
- Record all membership changes: deaths, marriages, address changes, transfers of membership, baptisms, and new members in the Church database.
- Maintain the Church electronic file system. Keep the system current, including contracts, policies, records, etc. Scan paper files into the file system (some paper copies may be kept in the file cabinet for council use).
- Attend all Leadership Council and Finance Committee meetings. Attend and participate in Church staff meetings and share in other related administrative functions as requested by the Senior Pastor.
- Create, post, monitor, and oversee QABC social media.
- Develop QABC social media and web content and oversee/update the QABC website, including, checking social media for engagement, and posting events/announcements/updates on Facebook/Instagram every few days.
Accounts Receivable
- Enter weekly contributions (cash/checks/Paypal/Venmo) to general funds, building funds, special funds, and donor designated funds in Quickbooks. Take cash and check deposits to the bank. Record in kind donations.
- Record and deposit weekly receipts of the church of all long-term building tenants' contributions, as well as other building use income, including checks, cash, PayPal, and Venmo receipts.
- Coordinate sending of annual giving statements and QABC year in review newsletter.
- Record and categorize receipts.
- Meet monthly with the Treasurer and accountants to review accounts and prepare for monthly reconciliation.
JOB DEFINITIONS
JOB SKILLS AND REQUIREMENTS
- A minimum of a high school diploma or GED with 3 years of office experience or equivalent is required. Bachelor's Degree preferred.
- 1-2 years experience in managing business financial records/accounts receivable.
- Establishes good interpersonal relationships with church members and attendees and relates well to people inside and outside of the congregation. Shows compassion to those seeking pastoral support

- Works well with a team but also able to work independently and creatively with self-motivated and disciplined work habits.
- Ability to maintain discretion and confidentiality as the Church Office Administrator often works with high confidential information and conflictual situations.
- Demonstrated high level of verbal, written, and interpersonal communications skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Publisher), Google Workplace (GMail, Drive, Calendar, Forms, Photos, etc.), Canva, Dropbox, and other computer programs not listed.
- Strong organizational and data input skills. Able to prioritize and multitask, using good time management skills.
- Must comply with QABC's Child and Youth Abuse Prevention Policy and the Harassment and Misconduct Policy.
- Proof of full COVID vaccination.
- Successfully pass a criminal background check.
- Appreciation for the Church's religious and historic significance.
- Do not have to be a member of Queen Anne Baptist Church.
REPORTING
- The Church Office Administrator reports to the Senior Pastor.
HOURS AND COMPENSATION
- The Church Office Administrator position is an hourly position - $22/per hour. The candidate should expect to spend 15-20 each week in the position, depending on the time of the month.
- This position is part-time hourly and includes 32 hours paid vacation and 16 hours paid sick leave. Not eligible for any other benefits beyond State of Washington paid sick leave.
