Legacy Community Health is a premium, Federally Qualified Health Center (FQHC) that provides comprehensive care to community members regardless of their ability to pay. Our roots began in 1981 as the Montrose Clinic, with specialization in HIV education, testing, and treatment. Since then, the agency has expanded to 10 clinics in Houston, one in Baytown, two in Beaumont, and one in Deer Park with extensive services that include: Adult primary care, HIV/AIDS care, pediatrics, OB/GYN and maternity, dental, vision and behavioral health. Job Description
The Coordinator – Clinical Operations is responsible for coordinating, scheduling, and registering patients for primarily, but not limited to: clinic appointments, diagnostic testing/labs, and specialty services throughout the Legacy Community Health system. The employee will use independent judgment to adjust schedules and accommodate special requests from internal and external customers, while providing complete coordination prior to the appointment. This position can support the clinic as needed, and is able to complete all areas of the front desk.
Essential Functions
· Schedules and registers multiple services with multiple departments utilizing registration systems.
· Maintains and monitors clinical wait lists, recall lists, call back reports (out of care and/or uncontrolled disease state lists) and internal service orders.
· Make changes to schedules as needed (i.e. cancellation and rescheduling).
· Monitors clinic schedules to ensure productivity standards are met.
· Follows appointment procedures as set by leadership.
· Establishes, maintains, and updates patient’s registration for visit.
· Delivers quality customer service, managing the scheduling process professionally and timely
· Obtains required data to support clinical needs.
· Enters patient information into the appropriate databases.
· Uses established auditing procedures to process appointments and registrations.
· Utilizes courteous and professional telephone techniques and interpersonal skills to establish and maintain rapport with patients, clinical staff.
· Provide patients with information needed to prepare for appointment per protocol.
· Performs other duties as assigned.
