Job Description - Community Engagement & Event Officer

The successful incumbent is a skilled event professional who is responsible for executing donor experience strategies designed to engage, build relations with, and retain individual, foundation, and corporate donors for the purpose of philanthropy. The candidate must be experienced with community engagement and a proven track record for success. Reporting directly to both the National Events Manager and to the Senior Director of Development and Campaigns, the candidate is responsible for the execution of all strategies of community engagement for western Canada including, but not limited to events, annual giving, donor/volunteer recognition, and legacy giving. Looking to reengage lapsed donors, cultivate relationships with new prospects and manage an existing donor base, the successful candidate has significant fundraising and event experience, is a strong leader and will provide mentorship to the lay leaders, volunteers, and junior staff. YOUR WORK ENVIRONMENT  • The incumbent will be required to work in a one-person office located in Vancouver three days per week to accommodate visits by donors and volunteers • Occasional requirements to work outside of regular office hours including evenings and weekends Responsibilities: ADMINISTRATIVE FUNCTIONS: • Oversee the CHW Vancouver office, and ensure the workplace is clean, safe, and operating efficiently • Correspond and communicate with donors and volunteers as required by developing and maintaining strong relationships • Support western Canada, including Vancouver, Victoria, Calgary, and Edmonton Centres events and fundraising initiatives while cultivating relationships with donors and volunteers • Attend all centres and volunteer committee meetings in Vancouver • Liaise with the national office and national teams as required • Track and advise the finance team about receivables and any payables, provide banking for Vancouver Centre as required • Update donor records in Raisers Edge EVENT SUPPORT • Execute Vancouver / Victoria / Calgary events, including working occasional evenings and Sundays • Respond to all stakeholder inquiries in a prompt and professional manner • Share new and innovative ideas to grow event revenue and strengthen community engagement • Build and deploy surveys and debriefs and assist in the analysis after events are completed, including the creation of debrief documents • Project manage events, including creation of critical paths, recruitment, logistics, budget, volunteers, and execution. • Report on event budgets, and provide regular reports on event performance. Monitor incoming funds in relation to the Vancouver centres • Work in collaboration with the national events team to ensure sponsorship benefits are provided, post-event debriefs are provided in a timely manner for sponsors and committees • Provide administrative support to event committees including, but not limited to, scheduling meetings, minutes, and action reporting for events scheduled in Vancouver, Victoria and Calgary • Achieve event revenue targets by maximizing event participation, donations, GIK donations and sponsorship • Solicit corporate, individual, and foundation sponsorship, and gift-in-kind vendor solicitations as required • Assist with the day-to-day management of sponsors, vendors, and individual registrants with tracking • Project manage an event portfolio for Western Canada • Utilize and set up online event registration, crowdfunding, and peer-to-peer pages through Luminate Online and other peer-to-peer software platforms • Develop commitment forms, agreements, individual event budgets and work back schedules (critical paths) • Support for organization non-revenue generating events, stewardship, donor recognition and third-party events • Provide effective mentorship, training, encouragement, support, and leadership to staff, volunteers, and lay leaders to ensure collective attainment of annual and long-term financial goals through events, are achieved • Work with lay leaders, Development Coordinator Western Canada, and centre volunteers to support programming and fundraising efforts to enhance donor acquisition, retention, and reengage lapsed donors in centres across western • Support major fundraising initiatives/campaigns/events in Western Canada • Conduct cold calling to solicit financial contributions and in-kind donations • Collaborate with the development team and centre lay leader to develop and execute short-term and long-term development goals and the annual plan for the centre, ensuring increased revenue year-over-year • Strengthen and grow revenue development opportunities with existing donors through the cultivation and implementation of strategies for annual giving, legacy giving, peer-to-peer donations, and corporate sponsorships • Participate on national, local and western Canada committees as required • Support the marketing team to coordinate Vancouver donor communications • Support the donor relations team for donor recognition and stewardship • Performs other duties related to the qualifications and requirements of the job • Ability to work and travel within a flexible schedule, including occasional weekends and evenings • Other duties as assigned Qualifications: • Minimum three years of broad-based experience in community engagement, events, fundraising • Strong understanding of annual giving, peer-to-peer fundraising, and special • Experience cultivating individual donors, foundations, corporate sponsors • Experience working with lay leaders, volunteers/committees and juggling multiple vendors and events • Demonstrated leadership experience • Demonstrated event experience with a proven track record • Ability to work autonomously, self-motivated and accountable for goals Ability to work in a high-performing, highly professional and results-oriented • Strong attention to detail and demonstrated ability to meet deadlines • Highly developed organizational, communication, and problem-solving skills • Proficiency in MS Word, MS Excel, MS PowerPoint, Outlook, Zoom, Google documents, SharePoint, Asana Blackbaud Luminate Online, Raisers Edge • University degree or post-secondary diploma • CFRE is considered an asset • A valid driver’s license and access to a vehicle YOU’LL BRING • A passion for engaging the community to build relationships, create fundraising opportunities and revenue streams • Experience coaching and mentoring a volunteer team to achieve ambitious • Strong organizational skills and the ability to balance competing priorities • Excellent written and oral communication skills • Commitment to the vision and mission of the organization to reach its goals About Company: Canadian Hadassah-WIZO (CHW) is a Zionist-based organization with a vibrant 100-year history.
