Job Description - Coordinator I (Finance and Administrative Coordinator)

Job Summary

The mission of the Department of Social and Behavioral Sciences (SBS) is to improve health throughout the human lifespan, including a special emphasis on children and adolescents. This mission is achieved through research to identify the social and behavioral determinants of health, the development and evaluation of interventions and policies leading to the improvement of population health, and the preparation of professionals and researchers who will fill leadership positions in advocacy and public service.

Position Description

The Department of Social and Behavioral Sciences is seeking to hire a Financial Coordinator. The Coordinator's duties and responsibilities include, but are not limited to, the following: General Office and Operations Support:
  • Serves as the primary department contact person and performs day-to-day office duties. Such duties include:
  • Primary Department Contact: Answers main department phone line, greets visitors, and responds to routine questions; triages non-routine questions to appropriate faculty or staff member; composes routine department correspondence
  • Operations: Monitors inventory and orders office supplies; provides assistance with and arranges for servicing of copy machines; serves as the liaison between the department and IT & Operations for resolving IT and other operational issues; arranges departmental parking reservations and visitor passes; manages and distributes Kresge-based mail and general department FedEx shipments, manages departmental room reservations.
  • Uses multiple technical applications including word processing, spreadsheets, and other software to fulfill duties.


Financial Administration:
Understands the administrative services, policies, and procedures to effectively manage the following duties:
  • Temp Payroll: Manages the hiring, onboarding, payroll, and termination processes related to TEMP, LHT, and student workers including I-9 processing, tracking hours, time and pay approval, and Wasabi data changes
  • Accounts Payable: Processes non-employee and student reimbursements, honorariums, practicums, processes corporate cards and Concur transactions for Kresge and India-based faculty and staff, The Center for Health Communications, and the Center for Health and Happiness, and processes department invoices/wires; initiate vendor set up with the supplier portal and Spintax for foreign individuals, and assist with reconciling the department travel card.
  • Processes Journals and Credit vouchers as needed
Other Responsibilities:
  • Increases knowledge throughout year by participating in offered training and tutorials
  • Performs other duties as assigned

Basic Qualifications

  • 4+ years of relevant work experience is required; a combination of education and experience may be considered

Additional Qualifications and Skills

The following job-specific skills and competencies are preferred:
  • Bachelor's degree
  • Minimum of one to three years relevant work experience in professional administrative support positions, with experience in an academic setting and in financial administration
  • Experience with Microsoft Office Suite
  • Excellent written and verbal communication skill
  • Highly organized with strong attention to detail and accuracy
  • Experience working independently and taking initiative
  • Experience interacting effectively with staff at all levels, and working as a team player
The following cultural competencies are also preferred:
  • Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments
  • Knowledge of and commitment to concepts and issues tied to social justice, diversity, equity, and inclusion
  • Skills related to creating and supporting an environment that allows for inclusion, effective intercultural engagement, and personal humility and authenticity
