JOB SUMMARY
The coordinator provides support for the Theology department, including but not limited to marketing, event planning, course scheduling, budget maintenance, office and calendar management, student worker supervision, and faculty onboarding
ESSENTIAL FUNCTIONS
1. Marketing and Events: Content manager for internal and external department websites. Create in-brand digital and print ads for different audiences, distribute through multiple campus channels. Manage social media accounts and content calendar. Prepare, edit, and send department enewsletter twice per year. Design and update flyers for majors and minors. Support summer orientation and registration. Coordinate logistics for 15-20 events per year, including speaker contract and payment, facility reservation, hospitality, and advertising. Record and archive public lectures and all faculty publications. (Programs: Canva, Campus Labs, Cascade, Digital Commons, Lyris, Panopto, Research Online, Salesforce, Series 25, Social Tables, T4)
2. Academic Coordination: Work with chair and 40 faculty to organize and enter details for 160+ course sections per year. Act as liaison between department and Registrar. Monitor enrollment and act to encourage registrations by maneuvering waitlists and reaching students via email, social media, TAK Theology Honor Society, and Theology major & minor course. Create and perform data audits. (Programs: Banner, Canvas, Classfinder, Cognos, Curriculog, Decision Support, Murphy)
3. Office Management: Keep technology and office inventory and order supplies and services. Prepare correspondence to other staff, faculty, prospective and current students, and vendors. Manage department calendar and take meeting minutes. First point of contact for visitors and students. Manage access to shared files and maintain email distribution groups. Communicate with peers across campus and share best practices and resources. Participate in and/or lead training and professional development opportunities. (Programs: MS Office Suite, Outlook, Sharepoint, Zoom)
4. Record and Budget Management: Make and track payments, assist with budget planning and credit card reconciliation, provide reports and spreadsheets for chair review. Support annual reporting with data collected throughout the year. (Programs: Ebuy&Pay, Murphy Finance, Cognos Finance, database management, Optix, Wells One)
5. Supervise Student Workers: Assess needs and hire when appropriate for tutors and office and social media assistants. Train and create schedules, assign and monitor work, approve timesheets. (Programs: Talent Management System, Facebook and Instagram Business Suites, YouTube administration)
6. Faculty Onboarding and Contracts: Coordinate interview logistics with search committee. Complete new hire paperwork and continue onboarding of faculty through first several months. Request faculty contracts and overload payments, and track stipends. Keep records of CVs, transcripts, and syllabi, and track number of courses taught to determine paygrade for each faculty.
