Status : Full-time, Exempt (Year-Round)
Supervises: Food Service Coordinator(s), Office Administrator(s)
Salary: $75,000-$90,000 plus $12,000 Temporary Cost of Living Allowance and MWA Benefits

Position Summary
The Coordinator of School Operations leads people and supports initiatives related to the onsite operations for Making Waves Academy (“MWA”). The Coordinator oversees the support of and daily supervision of critical operations functions including, but not limited to, reception and front office support, food service, event planning, meal program applications, school volunteers, annual mailings, uniforms, and transportation. Together with the Manager of School Operations, this position executes MWA’s vision and strategy for school-based operations, leading the development and sustainability of high-quality operational systems to support teaching and learning. The Operations department is a cornerstone of the MWA’s model, which seeks to relieve the instructional leadership of non-instructional obligations so that they can focus almost exclusively on student achievement and instructional staff development. This position partners with school leadership and cross-functional departments to solve operational challenges by implementing policies and procedures that improve effectiveness and efficiency. Finally, the Coordinator communicates regularly and effectively with team members , internal stakeholders, and external constituent groups. Primary Responsibilities Operations Management & Leadership

  • Manage scheduling and workflow for operations staff, including supervision, regular 1:1s, monitoring, and approving timecards.
  • Plan and administer annual goal-setting and performance evaluations for Operations Staff, create and model supportive team culture.
  • Maintains a high level of communication around appropriate issues with direct supervisor and operational leadership.
  • Collaborate with operations staff and managers across divisions to problem-solve and maximize both efficiency and effectiveness.
Systems and Process Coordination
  • Coordinate the purchase distribution of uniforms, planners, lockers, and other annual items used by students.
  • Coordinate and execute processes for school-wide initiatives/systems, such as MWA’s master calendar of events, campus supervision duty assignments, parent volunteer application and screening process, textbook inventory and tracking, donations, and the Federal meal program application process, under the direction of the Manager of School Operations.
  • Coordinates, executes and monitors operational structures and tools to support all-staff campus supervision duties.
  • Manage operational processes pertaining to onboarding and offboarding in conjunction with human resources and the attendance team ; processes may include but are not limited to campus supervision assignments, directory, and mailbox updates, issuing IDs, and tracking student fees owed .
  • Coordinate front office support for annual lottery and enrollment processes under the direction of the Manager of School Operations.
  • Coordinate front office support for the annual Free and Reduced Meal program annual application process in compliance with State and Federal regulations.
  • Coordinate front office support for supply ordering and distribution to school staff/faculty, transportation for school activities and scheduling translation services.
  • Coordinate support for division and school events, including planning and coordinating logistics, establishing staffing plans, and ensuring project plans are shared with stakeholders and carried out as necessary.
  • Coordinate Parent Volunteer systems and assignments in partnership with HR.
  • Monitor the compliance of student cumulative file practices related to record-keeping, storage, retention, and transfers.
Budget and Vendor Management
  • Review non-instructional budget expenditures.
  • Manage day-to-day relationships with key vendors including food service, uniforms, office supplies, transportation, translation, and lottery.
  • Monitor student meal consumption rates and quality, and share feedback with vendors as needed.
  • Support the food service team in the accurate ordering of meals to maximize participation and minimize waste.
School Events
  • Partner with the Manager of School Operations to coordinate the annual Master Calendar Planning process and facilitate regular updates to the master calendar of events.
  • Facilitate event planning with event leads, school leaders, Campus Operations & Safety Manager, and other stakeholders.
  • Create and disseminate event project plans.
Other
  • Perform additional duties as assigned.
Work Environment
This job operates in a professional office environment but may also be outdoors on a daily basis. This role routinely uses standard office equipment such as laptop computers, photocopiers, portable two-way radio transceivers, and smartphones. Physical Demands
While performing the duties of this job, the employee may be required to adhere to the following:
  • Frequently walk across the middle and upper school campus, or climb stairs.
  • Participate in campus supervision duty each week – Monday through Friday frequency may vary based on the supervision assignment each semester.
  • Lift files, open filing cabinets, bend or stand, and sit for long periods.
Travel
Some travel is required for MWA-related events, such as workshops or conferences. Qualifications Experience
  • 2-5 years of school-based experience
  • 3-5 years experience supervising non-exempt, hourly employees
  • 2+ years of people, process, and project management experience

  • Ability to adapt and align on school-related initiatives
  • Highly organized, goal-oriented, and focused on outcomes
  • Ability to communicate with and build relationships with students and their families in the culturally and linguistically diverse MWA community
  • Ability to uphold and reinforce school policies and  procedures  when addressing students and families
  • Ability to work collaboratively and independently
  • Ability to work effectively in fast-paced environments with limited supervision
  • Demonstrate an understanding of technology and literacy learning platforms (time-keeping system, Microsoft Office Suite, Google Drive and Calendar, if applicable)
  • Professional orientation – appearance, communication, organization, and attitude
Education
  • Bachelor’s Degree required
Licenses or Certificates Needed
  • Employment eligibility will include fingerprints, tuberculosis, and other employment clearance as applicable
Preferred but not required
  • Spanish language proficiency
