Normal Work Schedule:

8:00 a.m. – 4:30 p.m., Monday - Friday, evenings and some weekends required.



Job Summary:

The program coordinator assists the Honors Dean in coordinating and providing a solid structure for an expanding Honors Program. Under the direct supervision of the Dean, the program coordinator serves to advise and support Honors students and plays a supporting role in the admission and recruitment of qualified high school and current JSU students to the Honors Program. This position will also collaborate with academic departments in scheduling Honors classes and recruiting new Honors faculty. Moreover, the program coordinator will also work with other student services offices such as Admissions, Financial Aid and Scholarships, Housing, Career Development Coordinators, International Programs, and Alumni Relations to ensure the needs of Honors students are met. The program coordinator also maintains student records, helps coordinate learning experiences and Honors speakers, maintains relations with Honors alumni and collaborates with marketing and communication to develop and support program marketing efforts.



Duties and Responsibilities:

  • Serves as co-advisor with the Dean for Honors scholarship recipients. Reviews and maintains files on a regular basis ensuring the current number of service hours, meetings attendance, transcripts, and email correspondence. Monitors and audits assigned student's progress toward program requirements/graduation ensuring all criteria has been met.
  • Serves on Honors Board and assists with the selection of top scholarship recipients. Reviews all scholarship applications and attends all interviews with prospective recipients.
  • Serves as primary liaison to the Dean for 32 Honors scholarship recipients. Gathers information for incoming 8 recipients for social media posts and recognition. Sends meeting reminders and any organizational updates.
  • Receives and addresses emails that come through the general Honors Program email (), including contacting parents and/or students to give information about Honors Program requirements and events.
  • Assists with implementation of events for Honors Program including planning the graduation reception.
  • Attends Preview Days, Admitted Student Days, and Orientation sessions as a representative of the program in a recruiting effort.
  • Attends program meetings and after-hours events for students, coordinating schedules with the Dean and Administrative Assistant.
  • Assists with scheduling speakers for Honors Program meetings for fall and spring semesters.
  • Provides letters of recommendation as requested from current students and/or alumni for recognition, organization admission, admission to graduate schools, and employment opportunities.
  • Works with Housing Department regarding on campus housing for Honors scholars.
  • Corresponds and coordinates with Registrar’s office regarding graduation and information in Banner for students.
  • Monitors course registrations and make recommendations in course schedules and instructor assignments in cooperation with other programs, departments, and colleges under the direction and approval of the Dean.
  • Communicates and meets with families as needed to promote Honors classes and program.
  • Assists the Dean with recruitment of academic Honors and University Honors instructors.
  • Assists the Dean in supporting, expanding, and strengthening the alumni organization for Honors. Obtains biographies for current students and alumni for newsletter, admissions department, and alumni notes. Handles the yearly nomination process to the Southern Regional Honors Conference (SRHC) to ensure Honors has good student participation at the SRHC. Handles conference registration, transportation, and hotel arrangements for the annual conference. Chaperones and transports the students to the SRHC.
  • Serves as liaison to Marketing Department and Print Shop to produce brochures and any other needed marketing material.
  • Works in conjunction with Admissions Director to see that all incoming students are contacted in a timely manner about their eligibility to join the Honors Program.
  • Assists with the academic advisement of the Honors Program -Wide members.
  • Assists the Dean and other staff members with the development of the annual budget for Honors, Special Programs, and ADP budgets.
  • Oversees the development of service projects in the Honors Program, including the Link Family Projects in fall and spring.
  • Oversees the social media content creations, including the newsletter for fall and spring.
  • Assists Honors Board with planning study away, study abroad, and team building opportunities.
  • Assist the Dean with maintaining the Alumni database and communication with alumni.
  • Performs other related requests and assignments as needed by the Dean.




Required Minimum Qualifications:

  • Bachelor's degree (B.A. or B.S.) and
  • Two (2) years of experience working with college/university student or young adults in an academic or student services or activities setting with coordinator or administrative responsibilities.
  • Must have extensive experience with Microsoft Office Suite, especially Excel. to track and maintain service hours, and meeting attendance of Honors Scholars.
  • Must also be proficient in Word, Power Point, One Drive, Outlook, and the use of Microsoft Forms

OR

  • High school diploma or equivalent and six years of experience working with college/university student or young adults in an academic or student services or activities setting with coordinator or administrative responsibilities and
  • Valid driver's license and ability to meet University insurance requirements
  • High level organization, team building, and communication skills (written and verbal)
  • Event planning/management skills
  • Data tracking and management skills
  • Ability to travel and to attend periodic evening and weekend recruiting events and program/conferences, including driving University van for such travel
  • Must have extensive experience with Microsoft Office Suite, especially Excel. to track and maintain service hours, and meeting attendance of Honors Scholars.
  • Must also be proficient in Word, Power Point, One Drive, Outlook, and the use of Microsoft Forms




Preferred Qualifications:

  • Master’s degree
  • Previous experience working with Honors or high-achieving students in a university setting and/or delivering student-centered customer service.
  • Experience recruiting and advising students.
  • Experience with establishing and maintaining effective working relationships with students, supervisors, co-workers, and the public.
  • Demonstrated excellence in oral, written, and interpersonal communication skills.
  • Ability to exercise good judgment and effective decision-making.
  • Ability to work effectively with students, staff, faculty, and external partners to advance the mission of JSU and the University Honors Program.
  • Knowledge of university policies, procedures, and software, such as Banner and Slate
