Job Description - Corporate Administrator

NOW HIRING:

The Corporate Administrator reports directly to the CEO and is responsible for coordinating administrative activities, managing calendars, and organizing events, ensuring efficient operations within the company. This role handles a range of high-level tasks such as; recruiting efforts, compiling reports and updating trackers , overseeing office logistics , and providing direct support to the CEO . This role also facilitates communication and accountability for the leadership team.

WHAT WILL I DO?

  • Assist CEO with recruiting goals/efforts on a company-wide level
  • Work amongst entire leadership team providing both support and CEO directive
  • Maintain and update vendor list, Pending Business Report, and 12-month Running Tracker.
  • Update Master Tracker with Moxi Engage numbers and sales meeting attendance.
  • Schedule and prepare agendas for monthly meetings, including 1:1 coaching sessions and property management meetings.
  • Organize, plan, and rollout monthly office events or as holidays occur.
  • Perform various administrative duties for the CEO; Examples range but may include: assistance with needs of personal matters such as insurance to assisting with needs of affiliate businesses.
  • Monitor office supply stock levels and coordinate with other offices for their needs.
  • Schedule and prepare meeting agendas, attend, take detailed notes, and summarize in a follow-up email.
  • Monitor CEO email and notify the CEO of relevant activities.
  • Willing to cover temporary dept. needs like front desk reception, closings, etc. as needed.
  • Receive necessary training on MLS functions, including Listing input, Editing Agent Roster (MLS Access), and general MLS navigation, especially for reporting purposes for the CEO.
  • Supervision of up to 4 office staff members and accountability
  • Position will develop with more responsibilities and growth potential as the candidate evolves into the role

POSITION REQUIREMENTS:

  • A high school diploma or equivalent is required , with bachelor's degree highly preferred. We will consider those without a degree with applicable, longstanding proof of experience in a similar role.
  • A minimum of three years of experience in providing administrative support, including tasks such as scheduling, document management, and office coordination is required.
  • Previous experience in a supervisory role is preferred.
