Job Description - Customer Service Office Associate

Mather Pump Service is respected as a highly technical pump and water well specialty supplier and systems integrator. We handle a variety of rotating equipment, fluid handling products, custom electrical panels, electrical controls, electric motors, variable speed drives (vfd), automatic control valves (acv), instrumentation and accessories….often cradle to grave.

We are looking for a Customer Service Associate to assist customers as well as support sales, installation and maintenance in our Vancouver, WA office. The Customer Service Associate will handle general office duties including managing multi-line phones, utilizing a Customer Relationship Management (CRM) system, and will utilize Microsoft Office 365 applications like Outlook, Excel, and Word. This is an entry level role and we are willing to train!

Pay range will vary depending on experience.

Responsibilities:

  • Process Accounts Payable and Accounts Receivable efficiently to maintain financial records accurately.
  • Assist sales staff with administrative tasks, such as preparing quotes and coordinating client communications.
  • Provide exceptional customer service by answering inquiries, providing quotes over the phone, and occasionally in person for service and equipment.
  • Create job dispatches with detailed records and maps for work crews to ensure efficient scheduling and task allocation.
  • Arrange freight and shipping logistics to fulfill customer orders promptly and accurately.
  • Maintain a positive and pleasant demeanor while addressing customer needs and concerns.

Requirements:

  • High School diploma required. College coursework preferred.
  • Full-time availability, Monday to Friday, 7:30 AM to 4:30 PM.
  • Computer proficiency including ability to research information online.
  • Excellent verbal and written communication skills with customers.
  • Attention to detail and highly organized approach to tasks.
  • Quick problem-solving skills and ability to process tasks efficiently.
  • Willingness to learn and understand company processes, procedures, and products.
  • Self-initiated learner with the ability to adapt to new technologies and tools.
  • Ability to pass a drug test and criminal background check.

Preferred Skills:

  • Experience in a customer service role.
  • Experience with Customer Relationship Management (ERP) software.
  • Previous use of any of these programs a plus: m365 Office Suite, MS Outlook, MS Teams, SharePoint, Zoom, Adobe Reader, and Lastpass.
  • Typing skills 50 Words per minute or higher preferred.
