Job Description - Executive Administrative Assistant I Honors College

Job Summary

The Executive Administrative Assistant I provides primary administrative support for the Dean of the Honors College and professional staff. The person in this position manages the Honors College administrative office and supervises student workers. This office handles a variety of contacts with departments, faculty, staff, and students inside the University, and may respond to or forward contacts with parents and prospective students. The Executive Administrative Assistant I processes budget expenditures, assists in course scheduling, maintains supplies, assists in preparation for events, supports contacts with students, and works to advance the efficiency and effectiveness of the Honors College in consultation with the Dean, faculty and staff.  The Executive Administrative Assistant I may also assist in extended ways such as by serving as technology contact for Honors classrooms and study areas.

Responsibilities and Duties

Manage administrative and operational activities within the Honors College office. Become well-versed in University policies and procedures relevant to budgets, course scheduling, travel, events, record-keeping, and the like, as well as the wider work of the Honors College in serving students. Apply those policies and procedures effectively to daily work. Use Microsoft Office programs, the Stratus budget system, PeopleSoft, and other University software systems to accomplish required tasks. Assist in maintaining records and compiling data as required for regular reporting or as specifically requested.

Provide training, guidance, and supervision for student workers serving as office support staff. Prepare materials for training and operations as necessary. Order office supplies and monitor their use. Remain alert to changing circumstances, operational concerns, or new challenges and bring these issues and any suggested responses to the attention of the Dean or staff. Receive and screen telephone calls and visitors. Work with professional and student staff to develop appropriate responses to anticipated questions or concerns. Greet visitors arriving for appointments or seeking consultation. Develop good working relationships with other campus offices and with external vendors or contacts as appropriate. Assist staff with preparation for events. Assist Honors College Coordinator in tracking admissions data, decisions, and communications. Assist in recording Honors College status for individual students when needed.

Assist Faculty Director with tracking, maintaining, and adjusting Honors College markers in student records as requested. Help Dean or the Dean's designate to create and adapt Honors College course offerings, to enroll students in experiential learning coursework, and to manage faculty contracts. Monitor conditions and needs of Honors College facilities and communicate with Facilities Department as needed. Monitor operating status of computers and related technology in classrooms and student study areas; serve as liaison with Office of Technology Services; and assist with technology concerns when possible and file technology help requests when needed. Schedule appointments or room reservations. Coordinate arrangements for business meetings as needed. Maintain and review record systems to allow both thoroughness and usability. Provide assistance for such events as orientation and graduation.

Qualifications and Skills

Required:

  • High school diploma or equivalent.
  • Four years of administrative experience.
  • Must be skilled in the use of workplace software and able to learn online systems effectively.
  • Must have a positive presence and an ability to interact with others courteously by telephone or in person.
  • Must be well organized and effective in collaborating with other staff to accomplish unit goals.
  • Must be able to write clearly and effectively.
  • Must be able to work systematically with attention to detail.  

Preferred:

  • Education beyond high school welcome and valuable in working with an Honors College.
  • Experience with supervising students or other supervisory experience an asset.
  • Knowledge of a University context desirable.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Salary and Benefits

$48,105 annually and full University benefits that include annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
