Job Description - Executive Assistant

GENERAL DESCRIPTION

  • Tyonek is seeking a highly organized and efficient Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a proactive problem-solver with exceptional communication skills and the ability to handle a wide range of administrative tasks with precision and confidentiality. This role requires impeccable attention to detail, strong time management skills, and the ability to thrive in a fast-paced work environment. DUTIES

  • Manage the administrative team and ensure the reception area is covered. Ensure the team is trained in handling security requirements for the facilities.
  • Manage executive calendars, including deconflicting calendars, scheduling meetings, appointments, arrange meeting rooms/venues and travel arrangements.
  • Serve as primary point of contact for internal and external stakeholders, managing correspondence, screening calls, and responding to inquiries with professionalism and discretion.
  • Prepare and edit correspondence, presentations, and reports, ensuring accuracy and consistency in messaging and formatting.
  • Arrange meeting logistics, including room reservations, catering, and technology setup. Prepare agendas, attend meetings when required, take minutes, distribute minutes, and follow-up on action items as needed.
  • Provide administrative assistance such as filing, scanning, copying, and organizing documents. Manage office supplies and equipment, ensuring availability and functionality.
  • Handle sensitive information and maintain confidentiality in all aspects of work, including personnel matters, financial data, and business strategies.
  • Assist with special projects and initiatives as assigned, coordinating tasks, deadlines, and resources to ensure timely completion.
  • Cultivate positive working relationships with executives, leadership team, colleagues, clients, and partners, fostering a collaborative and supporting work environment.
  • Manage and administer the Tyonek travel program. Work with accounting and HR on policy revisions/development. Build a rapport with our vendors and identify ways to reduce travel costs.
  • Develop processes and procedures that ensure the efficient and cost-effective operation of the office.
  • Other duties as assigned

EDUCATION/EXPERIENCE REQUIREMENTS

  • Bachelor's degree or equivalent work experience.
  • Minimum of four (4) years of proven experience as an executive assistant or administrative assistant supporting senior management.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor.
  • Discretion and integrity in handling confidential information.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team.
  • SharePoint and Microsoft Teams experience is a plus.
  • Knowledge of travel software, GSA travel regulations for expense tracking, and budget management a strong plus.
  • Government contracting experience a plus.

  • Must be able to walk or stand on level surfaces and sit for extended periods of time.
  • On occasion must be able to lift 15 pounds.
  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows / knees, and reach above / below shoulders.
  • Works in a normal office environment with controlled temperature and lighting conditions.
