This is an exciting time for IS. In 2023, we welcomed Dr. Akilah Watkins, the first woman of color to lead IS as the President and CEO. We successfully reconvened, (since 2019), our first in-person national conference - Upswell - in Dallas, Texas, welcoming hundreds of national leaders to the South to share about their work committed to an equitable future. A big decision was made in June by the Supreme Court on Affirmative Action. We maintained our commitment to sharing critical knowledge and resources while partnering with the Council on Foundations to develop an amicus brief supporting racial equity work. We also understand the importance of having a voice and a seat at the policy-making table and have deep relationships with the White House and Congress. In 2023, we led a national listening tour in various cities in Chicago, New York City, Atlanta, Minneapolis, Dallas, and Seattle to hear directly from organizers, funders, and institutional leaders on the challenges and opportunities our sector faces. We plan to invite additional voices to the conversation in Phoenix, LA, as well as DC.

ABOUT THIS ROLE


The Executive Assistant plays a crucial role in providing high-level administrative support to C-suite executives, ensuring the efficient operation of the office, This position involves a combination of organizational, communication, and interpersonal skills, as well as the ability to handle confidential information with discretion.


WHAT YOU WILL BE DOING


• Plans and maintains an accurate calendar of meetings and other commitments for the C-Suite team.
• Draft and edit correspondence, memos, and documents on behalf of executives.
• Assist in the planning and coordination of special projects, events, or initiatives.
• Coordinate with the Chief of Staff to the President & CEO on all matters that require joint C-Suite and CEO participation to maintain processes that improve office functionality, efficiency, and professionalism.
• Coordinate travel arrangements, itineraries, and accommodation logistics.
• Screen and direct phone calls, emails, and other communications appropriately.
• Ensure that the C-Suite is provided with briefing materials for each event or meeting by coordinating with their direct reports or other staff; briefs SLT on all relevant scheduling activities and requests and responds to requests accordingly.
• Prepare and organize materials for meetings, presentations, and reports.
• Schedule all meetings and briefings involving the C-Suite with their respective teams or external partners or associates.
• Provide scheduling, note taking and tech support for internal committees led by C-Suite.
• Provide administrative support for the C-Suite on complex matters including travel arrangements and related travel itineraries, drafting agendas, coordinating routine reports, completing expense reports, note taking, etc.
• Provide technical support to C-Suite.
• Provide ad hoc administrative support to the operations team.
• Maintain contact lists and various databases.
• Maintain office files, both physical and digital for documents and records.
• Handle confidential information with the upmost discretion. Performs other duties as assigned.


SUPERVISORY RESPONSIBILITIES

None.


EXPERIENCE AND EDUCATION


• High school diploma, and
• Five (5) years of experience in providing administrative support to a top executive/C-suite executives other related experience involving extensive scheduling


QUALIFICATIONS
• Ability to work successfully as a member of a team and independently with limited supervision.
• Ability to accurately prepare and maintain records, files, and reports and ability to review documents and data for accuracy.
• Ability to communicate information and ideas in speaking and writing so others will understand.
• Ability to handle difficult and stressful situations in a professional manner
• Skill in identifying intermediate problems and reviewing related information to develop and evaluate options and implement solutions.
• Ability to analyze, organize, and prioritize work while meeting multiple deadlines.
• Working knowledge of the Microsoft Office suite of products and Salesforce.
• Interest in learning about advocacy, government relations, nonprofit and philanthropic policy issues, and the nonprofit and philanthropic community
• Awareness of diversity, inclusion, and equity (including race equity)'s impact on social change work, and willingness to engage on race equity in professional development and programmatic work.
• Maintains a high level of professionalism at all times.


WORK ENVIRONMENT
The work environment is a typical office environment. The noise level is usually quiet. Up to 5% travel may be required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
