Our office is located in Las Colinas, Texas. This position will have the following consideration:
Hybrid: Works regularly both Onsite (currently 3+ days per week) and Remote.
Job Description:
Provides administrative support to the SVP Sales & Head of Distribution, and the Sales Department. Duties requiring considerable judgment and skill include:
Communications
- Screens incoming calls for the Sales Department, processes and disseminates internal and external correspondence to appropriate areas
- Handles daily contact with internal and external customers, management, and visitors
- Handles daily correspondence requests for SVP and Sales Team; to include letters, documents, emails
- Monitors the inbox
- Provides backup support hosting internal Zoom calls or meetings
Employee/Meeting Scheduling
- Maintains calendar and travel schedule for SVP of Sales, Sales Managers, Sales Training and Sales Candidates
- Assists in maintaining Portfolio Management / Sales Team travel schedule
- Arrange and coordinate travel schedules for SVP of Sales, Sales Managers, and Sales Team
- Coordinates all aspects of semiannual sales conferences
- Maintains attendance records of all sales department associates and submits to HR for payroll processing
Travel Arrangements
- Processes conference registrations for SVP of Sales and Sales Team
- Handles travel arrangements for SVP of Sales and Sales Team as needed
- Handles travel arrangements for all Sales Candidates
- Works with local hotels to negotiate the best corporate company rate
Admin Support/Office Management
- Assists with annual sales budget preparation and monthly tracking
- Tracks weekly sales expenses through Certify
- Processes all territory sponsorship check requests
- Handles time-sensitive information
- Maintains records on all correspondence as required by the SEC as directed by Compliance
- Prepares quarterly sales expense tracking reports for Compliance and National Accounts
- Orders office supplies as needed
- Provides backup support for the reception desk on a rotating basis
- Performs other administrative duties as assigned
Board Presentation Responsibilities
- Works directly with the Sales Intelligence team on preparing quarterly Board materials and sub-advisor materials. Works with the Sales Intelligence, Digital Marketing, and Sales Teams to summarize Conference activities
Requirements:
- Previous secretarial/clerical/administrative experience
- Must possess exceptional office and communication skills, professional demeanor is imperative
- Excellent analytical, organizational and computer skills using Word, PowerPoint, Outlook, and Excel with a high degree of accuracy
- Must have great attention to detail, demonstrate initiative and the ability to prioritize multiple tasks. Experience coordinating corporate travel itineraries including flights, hotel, and ground transportation
- Must be flexible, well organized, punctual, proactive and demonstrate the ability to take initiative
- Qualities necessary for optimal performance include a positive attitude, enthusiasm, and an eagerness to learn, perseverance, responsiveness, and discretion
- Must maintain a high level of professionalism and confidentiality
- Ability to handle multiple responsibilities concurrently and work independently to perform a variety of tasks with accuracy and attention to detail
- Above average proof-reading skills required
- Excellent decision-making and problem-assessment skills are a must
