Job Description - Facilities Administrative Assistant

at Sargent & Lundy in Wilmington, Delaware, United States

Description

Sargent & Lundy is seeking a facilities adminitrative assistant who will aid in the implementation of company facilities and space planning activities. Provide general support to the Facilities Team which may include and are not limited to:

+ Responsible for new regional office set ups which include interfacing with building management, setting up call procedures, building portal, paperwork as required, COIs, employee building access. Coordinate vendor access.

+ Assist in close out of construction for new offices gathering final invoicing, waivers, permit/ CSD in file, record products for preventive maintenance.

+ Assist in maintaining the SOV providing to insurance group for each new office and annual updates as needed.

+ Purchase regional facility supplies as approved and maintaining inventory.

+ Create Purchase Order requisitions or approval, log in purchase orders for budgeting and tracking of invoices.

+ Support Help desk tickets, assisting in contacting vendors for proposals, scheduling.

+ Assist as needed with other Facility items to support the schedule of new and expanding offices

Qualifications

We do not sponsor employees for work authorization in the U.S. for this position. Essential skills and experience:

+ High School Diploma – an Associate Degree (or equivalent) preferred

+ Three to five years of experience.

+ Knowledge of CAD , floor plans, office furniture systems and specifying furniture systems.

+ Detail oriented team player able to work in a fast paced, dynamic environment

+ PC proficiency, solid MS Excel & Word skills

+ Excellent data entry skills

+ Complete heavy workload within established time frames

+ Able to multi-task with strong problem solving skills

+ Ability to follow through on initiatives for complete resolution

+ Strong verbal, written and interpersonal communication skills

+ Ability to maintain strict confidentiality
