Job Description - Finance and Operations Manager

EQPD is seeking an experienced Operations and Finance Manager to oversee the financial operations and administrative functions of our organization. The ideal candidate will have a background in nonprofit finance, with expertise in financial management, HR administration, and grant compliance.

About the Role
As the Operations and Finance Manager at EQPD, you will play a crucial role in overseeing the financial operations and administrative functions of our organization. Reporting directly to the COO, you will have the opportunity to contribute to our mission of revitalizing education by ensuring efficient financial management, HR administration, and grant compliance. Position Details

  • Title : Finance & Operations Manager
  • Location : Primarily virtual
  • Salary : $30/hour

  • Employment Type : Full-time
Responsibilities
  1. Financial Management (70%)
    • Oversee payroll services and expense reimbursements
    • Calculate and track contractor hours and manage requirements as necessary
    • Manage accounts receivable and accounts payable, processing invoices and payments
    • Issue invoices to customers and payments to vendors promptly
    • Handle check and credit card payments, ensuring accurate allocation
    • Collaborate with sales operations to reconcile service discrepancies before invoicing
    • Address customer inquiries promptly and professionally
    • Prepare and analyze financial statements, including balance sheets, income statements, and cash flow statements
    • Ensure accurate and timely recording of financial transactions in QuickBooks 
    • Conduct month-end and year-end closing procedures
    • Reconcile bank statements and general ledger accounts
    • Coordinate annual audit preparations and annual tax filing
    • Collaborate with leadership on budgeting process
    • Monitor compliance with financial policies and implement new policies as needed
    • Provide strategic financial recommendations to the CEO
  2. HR & Platform Administration (20%)
    • Support recruitment efforts by posting jobs and coordinating interviews
    • Facilitate onboarding processes for new hires, including system setup and equipment provision
    • Manage payroll activities, including salary tracking, vacation time recording, and comp time monitoring
    • Liaise with payroll services for employee payment issues and maintain accurate records
    • Manage software licenses, renewals, and evaluations for efficient operations
    • Maintain employee records and support engagement initiatives
  3. Grant administration and compliance (10%)
    • Supervise financial, project, and grant accounting activities
    • Ensure expenditure alignment with grant and program budgets
    • Monitor and track restricted funds
    • Develop budgets and reports for projects, programs, and grants as required
    • Manage risk and ensure compliance with nonprofit and donor requirements
Requirements
  • 5+ years of experience in nonprofit finance
  • Strong knowledge of US Generally Accepted Accounting Principles(US GAAP)and bookkeeping procedures
  • Proficiency in QuickBooks Online and Google Suite
  • Experience with databases preferred
  • Ability to learn and adapt to new software applications
  • Strong organizational and time management skills with attention to detail
  • Self-directed with the ability to drive projects independently
  • Excellent interpersonal and communication skills
  • Strong analytical and problem-solving abilities
