What would my day look like?

Our Leader of First Impressions will act as the office location's receptionist greeting our clients and providing administrative assistance to the firm's partners and staff. This role is a key brand ambassador for the company providing exceptional customer service to all they interact with. This includes:

  • Answering and directing calls for office locations.
  • Preparing office for daily business and close.
  • Preparing correspondence for partners, accountants, and other staff members as requested.
  • Setting up appointments for staff; reserve conference room as needed.
  • Ordering office supplies for all offices and dispatch supplies to other offices.
  • Maintaining postage meter; deliver and pick up mail at post office.
  • Coordinating office luncheons.
  • Entering in business cards.
  • Providing direct interface with clients and providing client information as requested.
  • Assisting clients with requested information, delivery of documents and payments, and general inquiries.
  • Processing credit card payment from clients.
  • Researching client AR.
  • Escorting clients to the conference rooms or meeting spots; provide warm welcome by offering a beverage, etc.
  • Following standardized workflow for the delivery of tax returns to clients.
  • Training other administrative roles in duties and standards.
  • Scanning and assembling documents.
  • Assisting Payroll Solutions affiliate with processing payroll as needed.
  • Being an ambassador of the company both internally and externally by supporting initiatives like recruitment, marketing, company events, etc.
  • Assisting with other duties associated with a full service CPA firm as needed to support the team and our clients.

What experience and skills do I need to be successful?

We are always willing to train candidates in the earlier stages of their career or utilize the wealth of skills from a seasoned pro. Here are some skills we'd love to see on your resume:

  • Comfortable working daily in Microsoft Office products including Excel, Word, and Outlook.
  • Strong communication and customer service skills for interacting with our customers on the phone, via email, and in person.
  • Strong attention to detail and accuracy.
  • Previous experience in a related receptionist or administrative support role highly desired.

What will my schedule look like?

This role supports our office hours of Monday-Friday 8a-5p. The role will typically work an 8.5 hour shift with a 30 minute lunch break each day. Generally overtime is not expected outside of tax season. During the January-April tax season, this role does work every other Saturday 8-12 or 9-1 allowing for some extra income with overtime hours.
