Job Description - Front Desk Representative

Are you an experienced administrator with a passion for creating a great experience for customers? If so, we have an excellent opportunity for a Front Desk Representative to join our growing team! This position is located at our Senior Connection location in Evansville, Indiana.

Day in the life

As a Front Desk Representative, you will be the first person, clients or potential clients interact with every day and you will be responsible for greeting and checking in customers, setting appointments, coordinating schedules and providing exceptional customer service. The Front Desk Representative accurately documents information and takes proactive ownership of all duties and responsibilities. This is a full-time in-office position.

  • Associate Degree (A. A.) preferred, or equivalent from two-year college or technical school or six months to one-year related experience and/or training in Customer Service or Claims in a medical or insurance industry.
  • Gathers and analyzes information skillfully; Develops alternative solutions.
  • Gives and welcomes feedback; Contributes to building a positive team spirit.
  • Puts success of team above own interests; Supports everyone's efforts to succeed.
  • Computer Skills - is familiar with Microsoft Outlook, Teams, and Zoom.
  • Experienced using a client resource management (CRM) software, such as Salesforce.

Front Desk Representative Essential Duties and Responsibilities

  • Enthusiastically accepts incoming calls from customers in an office setting; sets up appointments according to client needs.
  • Greets customers with a smile when they come into the office, schedule appointments, directs to solutions based on their needs, checks them into system to let agents know clients have arrived.
  • Manages customer relations in a calm, courteous and professional manner.
  • Follows-up, either verbally or in writing to ensure customer satisfaction.
  • Makes periodic calls to existing customers to determine satisfaction with the company products or services.
  • Files client paperwork correctly in the Senior database.
  • Documents all customer interactions and files client paperwork correctly in Senior Connection database.
  • Searches through obituaries to maintain up-to-date database; makes policyholder changes as necessary; closes client files.
  • Sanitize the common areas daily with provided materials.
  • Manage voicemail boxes and return calls in a timely manner.
  • Assist other staff members when needed with support tasks as required by workload demands fluctuate.
