Front Office Administrator Location Miamisburg, OH :

Position Summary

The Administrative Assistant at Grunder Landscaping Co. (GLC) is responsible for general office activities and provides both team member and customer support. Daily work will involve contact with team members, vendors, current clients and prospective clients. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This position will provide administrative and office support to sales, operations, and management. The office assistant position requires great interpersonal skills, attention to detail, and the ability to multitask and prioritize.

This position reports to the Chief Operating Officer and does not supervise any employees.

Knowledge, Skills and Abilities

Required:

Associates or Bachelor's Degree in Business Administration, or a related field, or equivalent experience to substitute for degree

Minimum of 3 years prior experience successfully supporting a corporation administratively.

Strong knowledge of general office practices pertaining to database administration, phone call etiquette, and customer service.

Previous experience utilizing enterprise systems

Ability and desire to effectively engage with anyone who walks through our door, and enthusiastically promote the GLC vision, mission, and philosophy

A passion for working with a team

Excellent organizational, follow-up, and self-motivation skills

Excellent oral and written communication skills

Excellent interpersonal skills and friendly demeanor

A sense of urgency and ability to meet deadlines and targets

Detail orientation

Strong technology skills

Preferred:

Previous operational or administrative experience in the landscape or equivalent industry

Licenses and Certifications

Valid Ohio driver's license that is not currently suspended or revoked (driving record must meet the insurance carrier's policy requirements and Grunder Landscaping Co. driving standards)

Position Duties and Functions

Administrative Initiatives: Office and Database Organization

1. Organize office and assist associates in ways that optimize procedures.

2. Electronic filling of accounts payable and accounts receivable.

3. Updating forms, procedures, and templates as needed.

4. Replenish office supplies and stationery as needed.

5. Empty trash cans and routine office cleaning as needed.

6. Accept delivery and manage incoming and outgoing mailings daily.

7. Maintenance and addition of prospective and future clients and team members to all company systems.

8. Maintain the Grunder Team Builder process.

9. Manage and maintain the Grunder Landscaping uniform process including inventorying clothing, ordering clothing, laundering clothing, and maintain the leased uniform agreement.

Administrative Initiatives: Communication

10. Answer all incoming calls and inquires that come into the business.

11. Greet visitors and applicants.

12. Maintain the Team Grunder Facebook page announcements for birthdays, cookouts, and attendance.

13. Manage companywide reminders for office events, office cleaning, and other notices.

14. Manage the Grunder Landscaping phone system for managers on call, weather announcements, extensions, and phone number maintenance.

15. Manage the warranty communication for clients.

16. Send and collect company survey data to clients.

17. Manage the announcement and recognition of company anniversary and birthday cards.

Other

18. Perform all other duties as assigned.

Working Conditions

Requires constant contact with candidates, coworkers, and the public. Work is normally performed in air-conditioned/heated facility. Majority of work is performed at a desk. May require visits to outdoor job sites periodically.

This position requires full-time hours Monday through Friday, in addition to extended workdays and weekend work as needed to communicate and follow-up with candidates.

Special Equipment

Must possess working knowledge of office machines and equipment including, but not limited to: desktop computer and all related software, printers, multi-line phone systems, copier, scanner, and other general office equipment.

Pay: $18.00 - $21.00 per hour

Expected hours: 40 per week
