JOB SUMMARY DESCRIPTION:

The Global Trade Export Specialist will responsible for developing and maintaining exceptional customer service to internal and external customers while processing export and/or import shipments to move products globally. They will coordinate and schedule domestic and or/international shipments; are responsible for making efficient transportation decisions. This individual would work with foreign offices, customers, suppliers, and service providers, such as warehouse, ocean, drayage, and trucking providers to ensure all shipments are properly scheduled through all operation steps while upholding governmental compliances.

 

DUTIES AND RESPONSIBILITIES:

  • Collect and compile relevant documentation for export or import shipments in accordance with the underlying contract terms and governing regulations (domestic and international).
  • Partner with internal departments and third parties to support account management with specific customer document request.
  • Review and verify sales contracts, shipping instructions and Letters of Credit. Clarify and adjust when required apply, review, and collect various 3 rd party documentation – such as Certificates of Origin, Quality Certificates, Ocean Bills of Landing. 
  • This position interacts with domestic service provides, our global customer base and banking channels, and is instrumental in ensuring successful cargo clearance and payment collections.
  • Ensure acquired documentation is complete and accurate, presented to customers and/or banks prior specified due dates.
  • Communicate clear documentation instructions to suppliers and customers in a timely manner, including across various time zones.
  • Enter key data and maintain spreadsheets
  • Respond to customer inquiries and communicate with customers and internal stakeholders to provide updates regarding assigned shipments.
  • Maintain transparency of progress of the process above for managers or any party of the transactions.
  • Assist to problem solve both domestic and overseas vendors and customers.
  • Make sure all documents are acquired prior to due dates specified by managers.

 

 

QUALIFICATIONS:

SKILLS

  • Ability to communicate concisely instructions to sellers and customers in foreign countries
  • Highly detailed-oriented, energetic, organized, professional, resourceful and self-motivates
  • Highly organizational capabilities along with the ability to multi-task, prioritize workflow and complete tasks with high level of accuracy, responsibility, and efficiency.
  • Strong knowledge of MS Office, Word, Excel.
  • Excellent multi-tasing and time management skills.
  • Exceptional communication and listening skills.
  • Ability to determine and established daily and weekly export priorities.
  • Team oriented, but takes ownership of providing timely, correct, and complete documents.

 

EXPERIENCE

  • Min 3 years export documentation experience, including a strong working knowledge of international banking transactions—ie. Letters of Credit, Documentary Collection, Avalized Drafts, etc.

 

EDUCATION

  • Prefer but not required, bachelor’s degree in business administration, Material Management.
  • Three (3) years of combined experience in Inventory Control, Materials Management o Supply Chain in a manufacturing environment, US Customs Regulations, FDA, DEA and USDA regulations.
  • Knowledge of US/Foreign import/export procedures (i.e Customs, FDA, FTZ) .
  • Strong computer knowledge including hands-on experience with PC, SAP, Word Perfect, Power Point, Excel
  • Ability to work closely and communicate with top level management to solve problems.
  • Must be able to write clear and concise analytical report.
  • Good analytical skills.
  • Strong leadership and initiative skills.
  • Organized, driver, self-starter and decisive.
  • Writing, reading and interpretation of data skills and ability to write clear and concise reports.
  • Excellent written and verbal ability in English and Spanish.
  • Excellent interpersonal relations and communication skills, teamwork oriented and can work under pressure.
  • Ability to work closely and communicate with corporate levels to solve US Customs issues.
