DESCRIPTION

This is a position located in DCF Headquarters at the Centre of Tallahassee, 2415 N. Monroe St., Suite 400, Tallahassee, FL, 32303. This position reports directly to the Director of the Office on Homelessness. This position will function as an Administrative Assistant and Council liaison in the Office on Homelessness. The Office on Homelessness serves as a single point of contact in state government for the 27 Continuums of Care (CoC) and other agency, organizations, and stakeholders serving the homeless population. The Office oversees policy and funding toward ending homelessness and serving persons experiencing homelessness (F.S.420.622-626). This position may require travel.

 

REQUIREMENTS

 

Required Qualifications

1. At least two (2) years of data interpretation and professional report construction

2. A minimum of a Bachelor’s degree, or four (4) years commensurate experience in report construction and/or administrative assignments.

 

Preferred Qualifications

1. Prior experience working with the State of Florida,

2. Report writing and editing experience.

3. Knowledge of interface design programs.

4. Excellent writing and verbal skills

5. Experience with Microsoft Office tools.

 

Essential Job Functions

The responsibilities of this position include, but are not limited to:

  • Coordinate administrative functions for the Office on Homelessness and the State Council on Homelessness.
  • Take a leadership role in assisting the Council on Homelessness with drafting their Annual Report, as directed.
  • Assist the Director and Deputy Director for the Office on Homelessness in constructing presentations, executive summaries, budget documents, and other official documentation as requested.
  • Accurately proof-read documents created by others in the Office.
  • Prepare and process purchase requisitions and travel requests for the Office on Homelessness and the State Council on Homelessness.
  • Arrange meetings and conferences including coordinating with various community partners.
  • Prepare documents for scheduled meetings.
  • Communicate with grant recipients and contract vendors when needed on behalf of the Director or Deputy Director.
  • Assist with other duties as requested.

 

Educational Requirements :

  • A minimum of a Bachelor’s degree, or four (4) years commensurate experience in report construction and/or administrative assignments .

 

Work Experience Requirements:

  • Knowledge of administrative principles and practices; office procedures and practices.
  • Knowledge of the methods of data collection and analysis.
  • Knowledge of correct grammar and report style editing.
  • Ability to determine work priorities, assign work, and ensure proper completion of work assignments.
  • Ability to communicate effectively.
  • Ability to manage confidential information.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to collect, evaluate, and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of management practices.
  • Ability to organize data into logical format for presentation in reports, documents, and other written materials.
  • Ability to conduct fact-finding research.
  • Ability to solve problems and make decisions.
  • Motivated self-starter with the ability to work collaboratively and independently.
