An overview of the position:

The Graduate School's Office of Grants and Fellowships is seeking a highly motivated student support specialist who is passionate about promoting and supporting graduate students and postdoctoral scholars in applying for grants and fellowships. The analyst and consultant will work with graduate students and postdoctoral scholars across all disciplines to identify funding opportunities, and advise on and help refine written application materials following foundation guidelines and principles of grantsmanship. In addition, this role will be responsible for the day-to-day coordination of the office, collecting and analyzing data, and assisting in evaluating the success of fellowship advising programs. The analyst and consultant will assist in developing and executing campus-wide and departmental events and workshops and implementing effective communication strategies.

The Office of Grants and Fellowships serves master's and Ph.D. graduate students and postdoctoral fellows in engineering, humanities, sciences, social sciences, global affairs, and business. The office focuses on competitive merit-based external funding and professional development opportunities, leading initiatives aimed at increasing graduate student awareness and funding success.

Key responsibilities:

  • Provide 1-on-1 proposal advising services for graduate students and postdoctoral fellows, including identifying relevant award opportunities, providing strategy sessions, and reviewing application materials in accordance with sponsor guidelines
  • Maintain accuracy of the office website and digital resources, including Canvas tutorials, a library of successful samples, and a curated lists database
  • Draft and circulate funding information, event announcements, and other advertisements to promote awareness of funding resources and events/workshops
  • Develop and implement effective communication strategies to advertise and promote prestigious awards
  • Assist the associate program director in university selection and nomination processes for graduate grants and fellowships, including but not limited to Fulbright, Boren, Liebmann, and NIH internal review panels
  • Assist in facilitating information sessions and workshops to educate students about internal and external funding opportunities and application processes
  • Empower a diverse population of graduate students to develop skills for successful communication, persuasion, and self-advocacy
  • Manage the data collection and tracking efforts of the office, including application submissions and outcomes, using internal information, student communication, and Qualtrics surveys
  • Generate comprehensive data reports summarizing key success factors and recommendations for future efforts
  • Coordinate data points with other Graduate School units (e.g., finance, data strategy, enrollment) in support of broader Graduate School tasks




Minimum Qualifications:

  • Masters degree and 1 year of relevant experience or Bachelors degree and 4-5 years of relevant experience
  • Demonstrated excellence in oral and written communication skills, including expertise in editing
  • Prior experience submitting grant or fellowship applications
  • Strong interpersonal skills and demonstrated success in collaborative work in an academic setting
  • Ability to prioritize and effectively manage multiple time-sensitive projects and deadlines
  • Proficiency in data management, analysis, and visualization software such as Google suite, Excel, or Tableau
  • Experience in reporting and maintaining records, with the aim of using metrics and empirical evidence to make data-informed decisions toward organizational goals and priorities




Preferred Qualifications:

  • Doctoral degree
  • Prior success with major grant or fellowship applications
  • Working knowledge of grant and fellowship application processes, particularly in Science, Technology, Engineering, and Mathematics
  • Experience in performing program assessments
  • Demonstrated commitment to graduate student success and empowerment and possession of a holistic approach to working with the graduate student population
