HR Onboarding Administrative Specialist Location Brooklyn, NY :
Job Summary: The HR Onboarding & Administrative Specialist at JCCA plays a vital role in supporting the Human Resources Department by ensuring efficient onboarding processes, compliance, and day-to-day administrative functions. This position contributes to the mission and goals of JCCA by providing a positive and successful onboarding experience for new staff members, interns, per-diems, and volunteers. **Onboarding Processes:
- Facilitate the onboarding process for new staff members, independent contractors, temporary staff members, interns, per-diems, and volunteers.
- Serve as the main point of contact for onboarding activities between hiring manager and candidate during pre-boarding process.
- Complete all required steps for onboarding, including updating the onboarding tracker daily, utilizing ATS system, creating electronic file and ensuring new hires are uploaded into ADP System
- Providing new hire and hiring manager with New Hire Orientation and onboarding training schedule.
- Provide timely updates to candidates, managers, and HR team members throughout the pre-boarding process.
- Collaborating with IT Department and ensuring new employee information is provided to IT at the start of pre-boarding each candidate
- Serve as back-up for onboarding team members when out of the office or as needed.
Offboarding Processes:
- Collaborate with HR Coordinators for offboarding process of employees, interns, volunteers and independent contractors.
- Serve as a back-up and provide employee separating with separation documents and collect company equipment
- Terminate employee access card on ID portal and send HR Team and Helpdesk notification when the employee access has been terminated.
Compliance and Documentation:
- Ensure employee documents are filed appropriately.
- Ensuring all documentation for candidates are uploaded to the appropriate system (e-file) and all documentation provided by each candidate meet the requirements on the personnel file checklist
- Ensure compliance with all new hire requirements and regulatory guidelines.
- Maintain accurate and up-to-date personnel files.
- Assist in gathering information and preparing materials for internal and external audits.
Other Administrative Duties:
- Create check request as needed for tuition reimbursement, child care subsidy and other payment requests.
- Receipt reconciliation- Ensure all fingerprint and SCR receipts are uploaded and shared with HR Coordinators
- Process employment verification requests
- Assists in other departmental and organizational projects as needed and as assigned.
- Support with the development and implementation of new HR programs, procedures and initiatives.
Qualifications:
- High School Diploma required, with 5 years of administrative experience; or College Degree in related field preferred, with 2 years of administrative experience.
- Administrative experience in a multi-site and/or non-profit human services or health care environment.
- Strong computer literacy with proficiency in standard office software such as MS Office; ability to quickly learn new technology platforms
- Proficiency in Human Resources Information Systems and Applicant Tracking Systems.
- Excellent communication skills - verbal and written
- Demonstrates a high level of attention to detail to ensure quality of work
- Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events
Hourly Rate: $ 24.72 per hour
Pay: From $24.72 per hour
Work Location: In person
