Job Description - Leave Relations Coordinator

For over a decade, we have been offering Private Duty Nursing, Skilled Nursing Visits, Occupational Therapy, Physical Therapy, and Speech Therapy services in the home and community-based settings. In 2022, we expanded our services to include MGA Behavior Therapy, which offers Applied Behavior Analysis (ABA) and early behavior intervention for pediatric patients with autism spectrum disorder (ASD) and other developmental disabilities.

Job Description



Responsible for the accurate administration of FMLA, FAMLI, Workers Compensation, Accommodations, and other leave of absence programs. A significant portion of this position includes information maintenance, which includes, but is not limited to, recordkeeping, reporting, and data auditing. Additionally, the Leave Relations Specialist provides administrative and project management support throughout the organization. 

Leave Administration 

  • Serves as initial contact for employees for all FMLA, work injuries, and other leaves of absence.
  • Assists internal and external employees with benefit inquiries in a timely manner by answering questions related to FMLA, FAMLI, Disability, Personal Leaves, non-FMLA eligible medical leave, and other absences while demonstrating exemplary customer service. 
  • Processes and maintains related leave documentation and certifications. 
  • Audits leave statuses monthly to ensure accuracy. 
  • Administers Short Term Disability and assists with questions regarding claims for employees on leave who have this benefit.
  • Provides employer information to vendor as required for any benefit claim (including but not limited to STD/LTD, accident, hospital critical illness, life, etc.) 
  • Develops payment plans and accounts for benefits premiums for employees that are missing work due to leaves of absence and/or FMLA. 
  • Process paid time off through system of record and/or data entry into payroll tracking for employees required to take PTO for their leaves of absence.
  • Processes Medical National Support Notices for internal and external employees accurately and in a timely manner 
  • Ensures payments for benefits are made during leaves of absence either through payroll or invoicing and removes benefits when appropriate for non-payment. 
  • Processes requests for accommodations (ADA and/or Title VII, etc.) or work restrictions for employees returning from leave with modified duties.

Worker’s Compensation 

  • Manages all functions throughout the claim’s lifecycle 
  • Collaborates with adjustor and injured employee as needed 
  • Processes worker’s compensation claims, which includes engaging with employee and assigned adjuster, submitting the claim, collaborating with employee and team on returning to work within restrictions if applicable, processing return to work program hours worked, and maintaining injury and illness records (OSHA) 
  • Responds to annual survey requests and OSHA inquiries 
  • May respond and supply

    for unemployment inquiries to third parties 
  • Develops and maintains relationships with all 3rd party carriers for billing and policy inquiries
  • Responds to inquiries regarding policies, procedures and programs while demonstrating exemplary customer service. 
  • Supports and executes the mission, ethics, and goals of the company effectively. 
  • Represents themselves in a positive and professional manner in the company and community. 
  • Adheres to dress code with a clean and neat professional appearance. 
  • Reports as scheduled in order to complete work within designated time. 
  • Adheres to all company policies and procedures outlined in Employee Handbook, Employee Agreement, or communicated from executive team. 
  • Other duties as assigned 

Qualifications

  • High School Degree required- Associates/Bachelor’s Degree preferred 
  • PHR/SHRM certification preferred 
  • 0-2 years of previous HR or related experience 
  • Ability to effectively communicate in English- verbal and written (Additional languages preferred) 
  • Maintain confidentiality of sensitive information 
  • Excellent verbal and written communication skills 
  • Comprehensive organizational and task-management skills
  • Strong analytical and problem-solving skills with a “people-first” approach to resolution
  • Thorough understanding of local, state, and federal laws involving employment, HR, and HR policies 
  • Proficient with the ability to quickly learn the organization’s HRIS, payroll, and similar employee management software
