Job Description

Title:  Manager of School Operations (MSO)
Division:  School- w ide
Reports To: MWA Principal (partial oversight from Director of Campus Operations)
Status : Full-time, Exempt (Year-Round)
Supervises:  Attendance Specialists (2), Substitute Teaching Program Coordinator, Operations Coordinator
Salary: $100-000-$110,000 plus $12,000 Temporary Cost of Living Allowance and MWA Benefits Position Summary
The Manager of School Operations (MSO) leads people and initiatives related to the onsite operations for Making Waves Academy (“MWA”). This position executes critical priorities and creates and refines systems to facilitate MWA’s current scale and future expansion. The MSO oversees the support and daily supervision of critical operations functions, including attendance, substitute teacher program, coordination of lottery and enrollment, and vendor management. The Manager of School Operations also directly supervises a Coordinator of School Operations who oversees the support of daily supervision of MWA’a food services and front office operations. Together with the Principal and Director of Campus Operations, this position executes MWA’s vision and strategy for school-based operations, leading the development and sustainability of high-quality operational systems to support teaching and learning. The School Operations department is a cornerstone of the MWA’s model, which seeks to relieve the instructional leadership of non-instructional obligations so that they can focus almost exclusively on student achievement and instructional staff development. This position partners with school leadership and cross-functional departments to solve operational challenges and create and implement cohesive policies and procedures that improve effectiveness and efficiency. Finally, the MSO communicates regularly and effectively with members of their team, internal stakeholders, external constituent groups, and the Board of Directors. Primary Responsibilities Management & Leadership

  • Provide regular supervision to a team of exempt and non-exempt operations employees. Provide explicit support to the team in the areas of:  a) the pace of change, b) developing goals, timelines, metrics, and milestones, c) soliciting feedback from community members, and d) building towards agreements. 
  • Build team capacity by developing and implementing systemic approaches to the team's work.
  • Manage scheduling and workflow for school operations staff, including supervision, regular 1:1s, monitoring, and approving timecards.
  • Collaborate closely with the Director of Campus Operations (Central Office) and the Campus Operations and Safety Manager to align with the organization’s overall goals and compliance requirements.
  • Serves as the senior point of contact for issues related to school operations; triages challenges and makes decisions that support the school’s overall goals and objectives.
Systems Development and Oversight
  • Lead annual and ongoing development of processes for school-wide initiatives/systems such as:
    • MWA’s master calendar of events and event planning
    • lottery and enrollment,
    • attendance apportionment submissions,
    • campus supervision duty assignments for all MWA employees
    • purchase and distribution of uniforms, planners, and other annual items used by students
    • student records and attendance management
    • substitute programming and coverage
  • Establish operational structures and tools to maximize the efficiency and effectiveness of service.
Vendor & Budget Management
  • Manage day-to-day relationships with key vendors including food service, uniforms, office supplies, transportation, translation, and lottery. This includes monitoring vendor performance and customer feedback, and sharing feedback with vendors.
  • Develop division-specific, non-instructional budgets in partnership with the Principal and manage expenditures throughout the year to meet budget requirements.
  • Approve non-instructional budget expenditures.
Enrollment/Attendance
  • Lead and monitor the annual lottery, enrollment, and re-enrollment process.
  • Maintains current knowledge of school and state requirements, applicable codes and laws and assures compliance with established regulations and timelines.
  • Prepare a variety of correspondence and reports, including confidential data.
  • Oversees fidelity to the school’s attendance policies and procedures as it relates to regular attendance, truancy, and chronic absenteeism.

  • Participate in the school community – attending school competitions, performances, assemblies, and extracurricular activities.
Work Environment
  • This job operates in a professional office environment but may require periodic classroom support as applicable. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.
Physical Demands
As part of this job, the employee may need to do the following tasks:
  • Walk frequently around the middle and upper school campus.
  • Participate in required campus supervision duties every week, from Monday to Friday, with varying frequency depending on the semester's supervision assignment.
  • Lift files, open filing cabinets, bend or stand on a stool as necessary, and sit for extended periods.
Travel
Some travel is required for MWA-related events, such as workshops or conferences. Qualifications Experience
  • 3-5 years of school-based experience
  • 3-5 years experience supervising non-exempt, hourly employees
  • 5+ years of people, process, and project management experience
  • 1-3 years of budget management experience
Skills
  • Excellent organization and analytical skills; strong and effective problem-solving skills, ability to implement programs, procedures, and systems, manage details, and work independently; ability to develop and revise; and ability to manage multiple projects simultaneously
  • Demonstrated ability to delegate well across large teams and/or groups of stakeholders
  • Ability to communicate effectively: raising critical issues in a timely way, communicating with and involving stakeholders effectively, and managing up effectively in sharing potential issues and challenges in a timely and appropriate way
  • Ability to adapt and align on school-related initiatives
  • Ability to communicate with and build relationships with students and their families in the culturally and linguistically diverse MWA community
  • Ability to uphold and reinforce school policies and  procedures when addressing staff, students and families
  • Ability to work collaboratively and independently
  • Ability to work effectively in fast-paced environments with limited supervision
  • Demonstrate an understanding of technology (Google Suite, project management tools, time-keeping systems, Microsoft Office Suite, etc. )
  • Professional orientation – appearance, communication, organization, and attitude
Education
  • Bachelor’s Degree required
Licenses or Certificates Needed
  • Employment eligibility will include fingerprints, tuberculosis, and/or other employment clearance
Preferred but not required
  • Spanish language proficiency
  • Advanced degree
