Job Description - Manufacturing Administrator

Job Summary:  

The Manufacturing Administrator provides high-level administrative support to the Plant Manager in managing the day-to-day operations of the manufacturing plant. This role serves as the primary point of contact for the Plant Manager, acting as a liaison between the manager and other departments, employees, vendors, and external parties. 

Job Responsibilities: 

Strategic Projects: 

  • Participate in various capacities on special strategic projects including new system launches or elimination of redundant processes. 
  • Lead special strategic projects at the direction of the Plant Manager. 
  • Prepare monthly, quarterly, and annual administrative reports/presentations for the leadership team. 

Purchasing:

  • Initiate purchase requests and orders for required supplies, materials, and goods. 
  • Monitor and track incoming orders, ensuring timely delivery and confirming receipt of complete shipments. 
  • Inspect the quality of purchased products and supplies, reporting any issues or inconsistencies. 
  • Monitor stock levels of supplies and materials, placing reorders as needed to maintain optimal inventory. 
  • Coordinate with warehouse staff to ensure proper storage and handling of received supplies. 

Administrative Support: 

  • Draft meeting agendas, company presentations, and written communications on behalf of the Plant Manager. 
  • Facilitate plant-wide town hall meetings. 
  • Book, monitor, and manage travel arrangements, including detailed itineraries and expense reports. 
  • Plan company workshops and events, including reservations for venues, restaurants, and entertainment spaces. 
  • Maintain meeting minutes for the leadership team and enforce task deadlines as directed by the Plant Manager. 
  • Critically evaluate confidential content for and with the Plant Manager before release to the organization. 
  • Maintain accurate inventory and stock of office materials, especially before mandatory in-office time for remote workers or the plant leadership team. 

Calendar/Scheduling Management: 

  • Exceptional management of multiple complex calendars and scheduling requirements with diplomacy and discretion 
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information, ensuring required actions are addressed promptly. 

Collaboration and Communication: 

  • Partner with leaders to understand their priorities and build processes to enhance organizational effectiveness. 
  • Organize, execute, and assist with team activities (staff meetings, on-sites/off-sites, team social events, etc.) 
  • Manage group logistics and team space (including moves and reconfigurations) 
  • Collaborate with Recruiting, Facilities, and HR teams within the organization. 
  • Track and help drive completion of key deliverables, following up on outstanding items. 
  • Serve as a bridge or intermediary between the leadership team and their direct reports, facilitating communication and coordination. 

Skills, Knowledge & Abilities:  

  • Strong verbal and written communication skills with the ability to engage different target audiences in various projects. 
  • Excellent organizational skills with the ability to multitask and manage conflicting deadlines. 
  • Structured and reliable way of work with the ability to draft and implement new processes quickly and mostly independently. 
  • Proficient with Microsoft Office Suite. 
  • Adaptable with reliable planning skills and the ability to anticipate organizational needs. 

Education & Experience:  

  • Associate degree in business administration or related field is preferred. 
  • At least three years of professional experience. 

Work Environment:   

  • Exposure to both the office setting and food manufacturing facility.
  • Significant amount of time working at a computer station 
  • Occasional visits to various areas of the manufacturing floor 
  • Must wear required PPE while in all manufacturing areas. 
  • Moving parts and machinery are present in the plant. 

Physical demands:   

  • Frequent sitting, standing, or walking. 
  • Occasional ability to lift up to 20lbs. 
  • Ability to physically perform functions of repetitive motion, grasping, lifting, pulling, pushing, reaching, crouching, kneeling, stooping, balancing, and climbing. 
  • Noise levels will vary, higher noise levels exist while in the plant operations areas.
