The Utah State University Nursing Department seeks a Staff Assistant II to be a member of the Nursing office team. This position will assist with daily office-wide operations and be the first point of contact for interested students.

1. Supports the Nursing Department Office: 60-70%

  • Provide both the Department Head and the department with the support needed for a highly functioning office.
  • Presence and representation of the department/program in a professional, positive manner with students, staff, faculty, and the community.
  • Timely open and close of the main department office daily.
  • Ensure completion of clerical and administrative support tasks, including creating and editing program correspondence; program handbooks, reports, and other publications; purchasing; employee work plans, MOU’s, immunization tracking, background checks, and related tasks.
  • Perform office duties, including phone answering and provision of accurate information, greeting guests, mail, scheduling, preparing paperwork, filing, ordering supplies, and/or managing inventories.
  • Coordinate program/department activities including meetings and minutes, faculty searches, employee interviews, routine and special events, and other projects.
  • Prepare, edit, and coordinate development of course catalogs, promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program.
  • Collect and analyze program information; prepare reports; and maintains program records, accreditation, and statistical information.
  • Seek ways to improve efficiency of services and develops processes to streamline procedures.
  • Provide support in program compliance activities.
  • May maintain and create website content and coordinate social media sites such as Facebook for the department.
  • May train and direct student employees, volunteers and/or part-time employees.

2. Effectively facilitates student processes: 10-15%

  • Provide professional and knowledgeable first contact with interested students and/or family. Timely and accurately responds to students and directs students to correct resources.
  • Work closely with Advisor(s) to assist, as needed, with review of Egrad and other application materials. Professionally contact applicants with missing information. Timely coordination of decisions and process through the system.
  • Lead the gathering and organizing of student admission data, facilitating the processes resulting in the successful completion of the twice-yearly student application cycle
  • Manage accurate and up-to-date database of admitted students from application through graduation and beyond per accreditation requirements.
  • Professionally correspond with students to provide information, reminders of policies, registration, and graduation. Assist with registration and department policies/procedures.
  • Positively engage in orientations, trainings, meetings provided by the department or other entities.
  • Gain/maintain knowledge of policies and work cooperatively with faculty, coordinators, and students to resolve issues.

3. Provides timely and professional support to Nursing Faculty: 10-15%

  • Coordinate office space, set-up, and supplies as needed.
  • Serve as a liaison between bookstore and faculty, assists faculty to ensure correct and timely textbook order delivery from the bookstore.
  • Review Nursing courses each semester and follow up with faculty and other University entities, such as scheduling and Curriculog to ensure correct and timely catalog/schedule publication and grade submission.
  • Assist with travel arrangements and other general clerical support as needed.
  • May assist with overseeing and updating Digital Measures.
  • Complete reports as required by program, college, and national organizations.
  • Maintain FERPA training and maintains confidentiality of student records and situations that arise involving the program, students, or faculty.

Minimum Qualifications:

  • Two years of experience in an office setting or an associate degree or business technology certification plus experience required

Knowledge, Skills, and Abilities:

  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint), page layout or design programs, video editing, mail merge, webpage maintenance, and databases
  • Ability to meet deadlines, as well as keep others on track
  • Ability to work effectively in a fast-paced, demanding office, and to manage multiple tasks in a timely, effective, and detail-oriented manner
  • Effective organization and problem-solving skills, with the ability to work independently with limited supervision
  • Ability to maintain a high degree of confidentiality, sensitivity, and discretion
  • Ability to effectively interact with department personnel to meet deadlines, prioritize workload appropriately, and adjust responsibilities as needed
  • Good understanding of the English language; excellent written communication skills, including spelling, grammar, and letter writing; excellent proofreading skills
  • Excellent interpersonal and customer service skills with the ability to communicate in a professional manner with the University community, students/families, and Department guests
  • Ability to maintain a positive, customer-service friendly attitude
