Job Description - Office Assistant

Administrative Professional – Office Assistant   We are a small, but rapidly growing Divorce and Family Law Firm in Nashville, Tennessee, looking for an experienced administrative professional to step in and take control of the administrative responsibilities in our office. This position, known to clients as our Office Assistant, will answer phones, process mail, triage and respond to the firm’s primary email account, conduct intake for potential new clients and invoice clients for legal services. Our ideal candidate will be warm, friendly, and know how to make each person that contacts our office feel as though their call is the most important one we will receive that day.    We strongly support personal and professional development, but please do not apply if you need training on the importance of showing up on time, taking pride in your work, or being accountable for your actions. Our law office isn’t pretentious or stuffy, but we do expect our employees to be mature, maintain confidentiality and act professional. You should also be comfortable using various forms of technology, cloud-based systems, Microsoft Word, and Excel. Responsibilities: This position will • Answer phones, triage calls and take messages • Manage incoming email correspondence • Screen leads to identify who meets the Firm’s criteria for becoming a client • Conduct intake for potential new clients • Follow up with potential and existing clients • Invoice our clients for fees and services • Maintain records and enter critical data into the Firm’s software systems • Perform general administrative tasks such as typing, filing, copying and scanning Qualifications: Our ideal candidate will: • Understand how to build relationships with a variety of different personality types • Demonstrate professionalism, maturity and empathy • Genuinely want to provide white-glove service to our clients • Demonstrate exceptional communication skills, both over the phone and in writing • Think on their toes and help our clients find information or solutions • Treat a call or meeting at 4:30 on a Friday with the same care and compassion as one on Monday morning • Follow instructions and understand the importance of policies and procedures • Be a team player that consistently acts with respect and integrity • Be tech savvy (we use law firm systems and cloud-based software) About Company: We are a fast-growing divorce and family law firm that prioritizes client satisfaction and taking ownership.
