Job Description - Office Assistant II

Dean’s Professional Services is now hiring a qualified, patient-care-focused Office Assistant II   to work in a State Hospital in Houston, TX.

The Office Assistant II   is responsible for providing administrative support in a professional setting and clerical duties for an assigned department.

Job Responsibilities:

  • Answers phones, routes calls, takes messages, and greets visitors.
  • Opens, sorts, and distributes departmental mail.
  • Collaborate with management to complete a variety of operations improvement projects and work independently on prior delegated tasks.
  • Assists Customer Service, Purchasing, and Operations teams with routine tasks (such as monitoring daily reports, updating systems, contacting vendors and hospitals, etc.)
  • Maintain and re-stock office and facility supplies as needed.
  • Monitor and use office equipment and materials (computers, printers, fax machines, copiers, physical files, etc.).
  • Arrange and schedule meetings, appointments, and events, including coordinating calendars and securing meeting spaces; keep calendars and remind all parties of upcoming events.
  • Other duties as assigned.

Job Requirements:

  • High school diploma or equivalent. Required
  • Supply chain experience is a plus but not required.
  • Effective written and oral communication skills.
  • Excellent customer service skills.
  • Comfortable working in a fast-paced environment with a variety of duties; adapts to changing requirements.
  • Proficient in Microsoft Office suite (Excel, Word, Outlook, PowerPoint).
  • Ability to handle confidential and sensitive information and situations with the highest degree of integrity, confidentiality, and professionalism.
  • Strong interpersonal skills, able to work as part of a team environment.
  • Strong problem-solving skills.
  • Organizational and time-management skills.

Job Details:

  • Schedule: M-F 8:00 am – 5:00 pm 
  • Starting at $14/hr. (Based on experience) 
  • Full benefits – healthcare, dental, vision, 401k program.
  • Temp-to-Hire opportunity.
