Job Description - Operations Administrative Manager, Office of the Chief Operating Officer

This role will report directly to the Chief Operating Officer (COO) for Dana Farber Cancer Institute. The Operations Administrative Manager will lead a team of approximately 1-2 staff members who provide administrative support (including calendaring and other administrative tasks) to Dana Farber???s Operation leader.

PRIMARY DUTIES:

  • Overall: ?? Provide team leadership by developing and managing administrative talent and setting clear goals to achieve the best results and greatest impact. Motivate and enable the team to meet goals and operational objectives, adopt new technology and more efficient business processes, and provide excellent service.
  • Administration: Manage team providing administrative and clerical support for the COO. Oversee space planning/assignment for Operations Administrative function. Organize and provide staffing for large-scale gatherings and events for the Operations staff, such as all-staff meetings, recognition events, and other events as needed.
  • Operations Support: ?? Serve as the primary ???client executive??? for the other administrative support staff supporting joint projects and communication efforts. Ensure that priorities and demands are appropriately staffed through various projects that are overseen by the Operations Administrative team. Create power point decks and business cases for various projects assigned by the COO.
  • Serve as a projects leader and providing thought partnership on those projects to the Chief Operations Officer, taking a broad and deep view of how the organization can best serve DFCI, its people, and its mission. With others on the senior management team, contribute significantly to shaping the administrative operations function for the future, and provide strategic support management over programs, structure, systems, and business processes. The Administrative Operations Manager will be a key contributor to improving capacity, capabilities, service delivery and supporting infrastructure over the Operations Administrative team.
  • Oversee operations in the Office of the COO as well as the finance, administration, and other functions of DFCI operations office.

Bachelor???s degree in management, hospital administration or similar field (3-5 years+) relevant experience, preferably in sectors such as higher education, academic medicine, health care, biomedical/pharma, business, non-profit, research, government, or management consulting.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Strong leadership skills such as being team- and solution-oriented, a talent developer and motivator, with strong character, integrity, and judgment.
  • Strategic thinking and business acumen. Strong subject matter expertise and skills in the project management, finance, and administrative functions.
  • The ability to envision, plan, drive and achieve tangible business results. Displays good judgment for risk taking and acts decisively to create maximum impact.
  • Experience in building critical relationships and collaborations, internal alliances, and long-term partnerships in a complex, matrixed organization.
  • Proficient in leading and managing through change, growth, and uncertainty. Flexibility and adaptability to shifting priorities and/or organizational needs. Anticipates barriers and adjusts in ways that move the work forward.
  • Excellent communicator with strong interpersonal skills and emotional intelligence.

SUPERVISORY RESPONSIBILITIES: Directly manages Administrative Staff ??? 1-2 staff members.
