SUPERVISION RECEIVED: Reports directly to the Director of Research & Relationship Management and indirectly to the Assistant Vice President of Development Operations.



SUPERVISION EXERCISED: Student workers as needed



POSITION SUMMARY: The Operations Coordinator role focuses on providing administrative and event support within the department to enhance philanthropic support and engagement. Responsibilities include ensuring timely and accurate information is provided to facilitate increased donor support and enhanced stakeholder engagement.



ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:



Administrative Support

  • Gift Acknowledgment Letters: Responsible for the gift acknowledgment letters process, handles all acknowledgments associated with the daily gifts process, and ensures all donations are acknowledged promptly.
  • Maintaining Community Vespers Hotline: Manage the hotline and assist with ticket distribution.
  • New Donor Management: Handle all brand-new donor monthly welcome letters and lapsed donor letters.
  • Naming Opportunities Documentation: Ensure accurate documentation and tracking of all naming opportunities across campus, including ordering plaques and memorials.
  • Scholarship Awarding Process: Assist the Associate Director of Data Management & Reporting with the scholarship awarding process. This includes but is not limited to communicating with scholarship recipients, preparing donor reports and graduation announcements/student achievements for donors, and documenting actions in the database.
  • Gratavid Platform Assistance: Assist the Director of Research & Relationship with stewardship touches through the Gratavid platform, including sending video requests to gift officers, creating task lists, and scheduling videos.
  • Weekly Move Report Digests: Assist the Director of Research & Relationship management with generating and distributing weekly moves report digests.
  • Lifetime Giving Card File Project: Oversee the project related to lifetime giving card files.
  • Paper to Digital Filing Project: Manage conversion of paper files to digital format.


Clerical and Event Support

  • Specialized Event Planning: Assist in planning specialized events by merging letters and envelopes, addressing invitations, tracking respondents, preparing event name tags, and other event details.
  • Vendor Relationship Coordination: Coordinate relationships with vendors related to stewardship events and items.


QUALIFICATIONS: High school diploma (AA or Bachelor?s preferred) with a minimum of 3 years of previous clerical support experience. The position demands excellent organizational, interpersonal, and communication skills (verbal and written), and an ability and desire to work closely with all constituencies of the University and Seminaries, including students, trustees, staff, and faculty, in addition to the general public. Requires a team player with exceptional attention to detail who can multitask and work under firm deadlines while maintaining confidentiality. Computer literacy and experience with G-Suite, and Microsoft Office, particularly database applications, word processing, and spreadsheets, are essential. Requires the ability to work some flexible hours, including, on rare occasions, weekends.
