Job Description - Operations Coordinator- Residential Management

Inland Family of Companies and Harmoniq Residential is seeking a highly organized and detail-oriented Operations Coordinator to join our team. In this pivotal role, you'll collaborate closely with our corporate operations team, company leadership, and on-site teams to ensure seamless property management, operations, leasing, marketing, and maintenance functions across the organization.

Your responsibilities will include:

Property Assistance:

  • Serve as a conduit for valuable cross-channel feedback, facilitating effective communication between residents, on-site teams, management, and executive leadership.
  • Provide invaluable staffing support and coverage to on-site teams during staff turnover and PTO, including conducting apartment tours, addressing tenant concerns, managing incoming calls, and offering guidance to vendors.

Operations:

  • Maintain meticulous organization by managing and filing reports, leases, and essential paperwork on our Internal Drive and/or residential management software.
  • Contribute to the upkeep of our property database, ensuring accuracy and accessibility for all team members.
  • Play a key role in day-to-day operational activities, supporting the growth and efficiency of our residential management company.
  • Assist in the implementation of new processes and procedures, driving continuous improvement and operational excellence.
  • Handle credit card reconciliation with precision and attention to detail.
  • Conduct thorough audits of properties during both onboarding and offboarding processes, ensuring compliance and efficiency.
  • Perform audits of our residential management software, guaranteeing optimal functionality and performance.

Requirements

  • Minimum of a High School Diploma or equivalent is required; Bachelor's degree is preferred, showcasing a commitment to education and personal development.
  • Demonstrated experience of 2+ years in administration, customer service, property management, or real estate, highlighting a proven track record of success in related fields.
  • Exceptional attention to detail coupled with excellent communication skills, ensuring clarity and precision in all interactions.
  • Ability to seamlessly integrate into and support a growing team, fostering collaboration and driving collective success.
  • Remarkable organizational skills with a proven ability to thrive under pressure and meet stringent deadlines, showcasing a dedication to efficiency and excellence.
  • Demonstrated capability to manage multiple projects and adapt to shifting priorities, underscoring resilience and adaptability.
  • Familiarity with fair housing regulations, indicating a commitment to ethical and compliant practices.
  • Proficiency in Microsoft Office, particularly Excel, demonstrating adeptness with essential software tools.
  • Experience with property management software such as Yardi, MRI, Entrata, AppFolio, reflecting technological proficiency and industry knowledge.
  • Knowledge of database and project management software, indicating a comprehensive skill set adaptable to diverse software platforms.
  • Willingness to work flexible hours including evenings and weekends, if required, demonstrating dedication and flexibility.
  • Professional demeanor and appearance, ensuring a polished and professional representation of the company.
  • Strong problem-solving abilities and a commitment to exceptional customer service, ensuring satisfaction and loyalty.
  • Possession of an entrepreneurial mindset and high integrity, reflecting a proactive and principled approach to work.
