Job Description - Operations Support Admin

We're looking for a detail-oriented and proactive Administrative Assistant to join our team. You'll play a crucial role in supporting our Senior Operations Manager and Director of Business Development by handling a variety of administrative tasks.

  • Communication: Answer and direct phone calls in a professional manner; communicate with customers regarding correspondence requests, account assistance, and fuel orders.
  • Scheduling: Organize and manage appointments for the management team.
  • Correspondence: Draft and distribute emails, memos, letters, and other communications.
  • Supplies & Printing: Act as the regional point person for printing and supply requisitions.
  • Equipment Maintenance: Oversee the maintenance of copiers, printers, and fax machines.
  • Travel Coordination: Make travel arrangements and reservations for internal and external customers.
  • Data Management: Maintain contact lists and assist with database management.
  • Reporting: Assist in the preparation of reports and create spreadsheets and PowerPoint presentations.
  • Support: Provide analytical support to the management team and assist with various tasks as needed.
  • Experience: Proven experience as an administrative assistant or similar role.
  • Skills: Proficiency in MS Office and knowledge of office equipment.
  • Organization: Strong organizational and time management skills.
  • Communication: Excellent written and verbal communication skills.
  • Education: High school diploma required; Associate degree preferred.
