ANTICIPATED VACANCY


Your Specific Responsibilities:
This position is located in Tallahassee, FL. The Administrative Assistant II position reports to the Public Health Services Manager F-SES. This is a highly responsible professional position, assigned to the Child Protection Unit that will be responsible for and assisting with monitoring and tracking documents and processes as it relates to contractual compliance, contract requirements, quality assurance, approval processes, and other related job functions.


Assist the Child Protection Unit to ensure that contracts comply with DOH policies, procedures, state and federal laws, rules, and regulations. Assist in creating contract files, documents, processes, and procedures for the unit.


Assist with conducting quality assurance contract file reviews. Monitor, track, and manage routing of various documents and assignments, review data and provide reports and updates as needed. Assist in arranging, scheduling, and coordinating meetings. Post public notices in the state system and assist with ordering office supplies. Make travel arrangements and process travel for staff.


Assist in the daily administrative duties including, but not limited drafting letters and other correspondence. Preparing agendas and meeting minutes, scheduling meetings, creating spreadsheets, documents, forms, and reports.

Prepare purchase requisitions, answer phone calls, distribute incoming and outgoing mail. Copying, filing, scanning, and equipment maintenance. Attend meetings, trainings, workshops, conferences, or seminars related to assigned areas of responsibility as recommended.


Serves as a back-up to the Approval Specialist and Administrative Assistant III positions. Provide technical assistance to staff within the Bureau of Child Protection, Child Protection Unit, and contracted providers as needed. Complete other related job duties. 

Required Knowledge, Skills, and Abilities:
Ability to work independently and prioritize work assignments to coordinate and manage provider enrollment process; Ability to understand, interpret and apply laws, rules, policies, procedures, and regulations. Skills in Access, Word, Excel, Outlook, PowerPoint and database programs; Ability to access, collect, analyze information from data systems and other programs; Ability to prepare charts and other required reports; Ability to communicate verbally and in writing; Skills in maintaining effective relationships with other staff, providers, consumers, and agencies; Able to maintain strict confidentiality. 

Qualifications:

  • High School Diploma
  • Three (3) years of Administrative Assistant or Administrative Experience
  • Three (3) years of Experience working with Microsoft Office Suite
  • Two (2) years of Experience Preparing and Processing Travel for Reimbursement
