Kentucky Organ Donor Affiliates (KODA) is seeking a Partnership Services Liaison to join our Louisville team! The Partnership Services Liaison (PSL) is responsible for activities related to the promotion of organ and tissue donation and transplantation among health care professionals and hospitals. These duties include partner services in assigned hospitals, related professional program planning and implementation, and various administrative duties. Other duties include conducting on-site assessment and evaluation of potential organ donors and following referrals in assigned area. Occasional family support may be required. Considerable travel may be required.

Specific Duties and Responsibilities: Position may involve performing other duties as required, which may not be mentioned below. Specific functions may change from time to time.

Hospital Services and Development:

  • Function as an expert resource within the hospital on all aspects of organ and tissue donation.
  • Develops overall strategy to enhance and improve organ and tissue donation in assigned hospitals.
  • Develops and maintains key relationships within assigned hospitals.
  • Service as a backup for regional team members.
  • Collects, analyzes and updates donor potential in assigned hospitals using medical record review.
  • Develops and maintains hospital profiles for assigned hospitals.
  • Develops individual hospital strategies for assigned hospitals. Which could include:
    • Educating hospital personnel and physicians about organ/tissue donation.
    • Organizing and facilitating effective committees to focus on increasing organ/tissue donation.
    • Working with hospital staff to develop and implement an effective request process.
  • Monitors and modifies strategic hospital action plans by collecting, analyzing and reporting results of hospital development activities. Maintains complete records on all activities in KODA's EMR.
  • Prepares and performs public speaking presentations including professional education programs and conferences.
  • Maintains a regular schedule of educational programs and visits for all shifts at assigned hospitals, including occasional weekends, evenings, and off-shifts.
  • Participates in real-time, in-person education during active donation cases, as appropriate.
  • Maintains appropriate support for hospitals as determined with Partnership Services Operations Manager based on hospital potential for organ and tissue donors.
  • Ensures that all potential organ and tissue donors in assigned hospitals are identified and referred to KODA in a timely manner.
  • When a variance in process is identified, completes follow-up and any necessary corrective action plans with involved hospital staff, supervisors, managers, physicians and/or administration as indicated.
  • Prepares and provides hospital specific data reports for all assigned hospitals.
  • Ensures that key personnel in assigned hospitals understand and comply with best practices as well as CMS/JCAHO indicators. Supports assigned hospitals in maintaining regulatory compliance.
  • Where appropriate, works with the hospital-based Donation Committee (or other hospital-designated committee) to develop goals and strategic plans that increase donation, address relevant issues related to organ, tissue and/or eye donation processes, and review donation activity.
  • Works to ensure that all assigned hospitals have current and up-to date policies and procedures for organ and tissue donation that are reviewed and updated on an annual basis.
  • Conducts in-person rounds/visits to all assigned hospitals as indicated.
  • Assists with the preparation of professional education programs and conferences as requested.
  • Actively participates in and contributes to the realization of KODA's organizational goals.
  • Inspires and prompts donor awareness activities throughout assigned hospitals.
  • Participates in KODA's quality improvement processes to maximize donation.
  • Organ Referral:
    • Responds promptly and appropriately to all referrals, local and import.
    • Maintains professional behavior and attitude toward hospital staff, physicians, peers, directors, etc.
    • Conduct on-site evaluation of potential organ donors.
    • Review hospital charts and current records of potential donors; document findings and communicate findings with KODA AOC.
    • Participate in medical rounds on appropriate units
    • Coordinate huddles with hospital staff during critical points in the referral and/or consent process
    • Participates in post-donor review with peers and appropriate management. Develops a revised action plan as needed.
    • Conducts appropriate follow up with KODA staff, nurses, physicians, other hospital staff.
  • Family Counseling:
    • Responds promptly and appropriately to organ donor referrals from assigned hospitals.
    • Recognizes and understands potential family dynamics and coordinates family approach with hospital staff.
    • Recognizes and corrects timing and decoupling intervals and assists hospital staff in understanding family needs.
    • Discusses organ/tissue donation options with potential donor families with a caring and empathetic attitude. Provides accurate, up-to-date information for informed consent.
    • Maintains written documentation of the case specifics including, but not limited to, family dynamics, health care team interaction and environmental issues.
  • Administration:
    • Maintains complete and accurate activity and expense records.
    • Develops and maintains proficiency with office equipment (i.e. fax machine, copier, personal computer, etc.).
    • Attends staff and department meetings as scheduled.
    • Maintains professional working relationship and rapport with management, medical, nursing, and ancillary staffs, both within and outside of KODA.
  • Personal Development:
    • Maintains professional skills (communication, presentation, leadership, teamwork, problem solving, etc.).
    • Maintains current knowledge of organ/tissue donation and transplantation.
    • Attends training programs as assigned by Partnership Services Operations Manager.

Mental and physical requirements

  • Physical Requirements: Sitting, standing, occasional lifting (up to thirty pounds), finger dexterity, eye-hand coordination, and visual acuity
    • Requires manual dexterity sufficient to operate phones, computers, and various office equipment.
    • Coordinators must have the ability to speak clearly in order to accurately convey information to KODA staff, hospital staff, and to donor families, either in person or over the telephone.
    • It is necessary for the Coordinator to hear at normal speaking levels either in person or over the telephone.
    • Accurate vision to read patient charts and lab reports, computer screens.
  • Skills and Qualifications: Ability to manage multiple, concurrent priorities; ability to adapt to constantly changing priorities keeping workflow constant; ability to meet timelines; ability to maintain effective working relationships and to establish the highest integrity with others to coordinate work in order to meet objectives.

    • The ability to work effectively to promote teamwork among the staff and/or donor families;
    • The ability to work effectively in stressful situations.
    • Liaisons must have a valid driver's license and reliable transportation.

Working environment and conditions

  • This position requires working within an indoor, normal office and hospital environment. The noise level in the work environment is typically low.
  • Extensive automobile travel within the KODA service area is expected.
  • This position requires working extended periods with few breaks.
  • Occasional overtime is required. Occasional nights, weekends, evenings are required for service to hospitals and other partners.
  • Must be able to work in an unsupervised work setting.

Education, experience and training

  • Education: Bachelor's degree required in healthcare, education, public relations, business, social work or marketing. Exceptional work experience may be substituted for education requirements.
  • Experience: Three years' experience in health care, marketing, communications, business, development, social work or teaching required. Candidates must have excellent written and verbal communications skills. Direct clinical experience in a health care setting preferred. Experience with EMR desired.
