Job Description - Payroll & Benefits Administrator

The Payroll & Benefits Administrator role is pivotal, ensuring efficient operations of payroll and benefits administration for Danis employees. Collaborating closely with Accounting, Finance and HR, the Administrator oversees the processing of multi-state weekly and bi-weekly payrolls, benefits administration, leaves of absence, and maintains compliance with payroll legislations. This is an on-site position based in Miamisburg, Ohio.

Payroll

  • Manage end-to-end payroll operations, ensuring timeliness, accuracy, and a superior employee experience.
  • Responsible for the lifecycle of the weekly and bi-weekly, multi-state payroll process for an average of 500 plus employees.
  • Proactively identify and resolve payroll discrepancies or issues, serving as an escalation point for additional inquiries.
  • Enter, maintain, and process employee information in the accounting/HR system, including compensation, time worked, leave, deductions, address changes, and terminations.
  • Ensure time is coded appropriately and accurately to maintain correct client billings.
  • Track recorded time off (vacation, sick, holiday) for both weekly and bi-weekly paid employees.
  • Process and reconcile payroll-related reports, such as monthly/quarterly/yearly payroll summaries, tax filings, child support and benefits contributions.
  • Manage regular and ad hoc reporting requests.
  • Manage the background check process for all new hires.

Benefits & Leave

  • Administer various employee benefits programs, such as group health, flexible spending accounts, health savings account, dental and vision, disability, life insurance, 401(k), and other benefits offered.
  • Provide new hires with all benefits enrollment information and explains benefits self-enrollment system.
  • Maintain employee benefit selections through our system and ensure benefits changes are processed appropriately in the accounting system, as well as reported appropriately to carriers.
  • Serve as resource for employees with health, dental, life and other related benefit questions and/or claims.
  • Administer COBRA.
  • Process Short-Term and Long-Term Disability Claims along with tracking FMLA time.

Additional Responsibilities

  • Assist with new hire onboarding.
  • Process invoices as needed. 
  • Assist accounting and human resources with various projects as requested.

Skills and Abilities:

  • Proven experience in payroll and benefits.
  • In-Depth knowledge or payroll processes, tax regulations and wage + hour laws.
  • Proficiently in payroll software and MS Office applications, especially Excel.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive information with discretion.
  • Knowledge of wage & hour laws and tax-related issues. .
  • Problem- solving skills and continuous learning mindset.
  • Processional communication skills.

  Education and Experience:

  • Bachelor’s degree preferred, preferably in Business Administration, Finance or Human Resources.
  • Minimum five (5) years’ experience with payroll and benefits processing. Experience with multi-state payroll and/or construction payroll is essential.

Working Conditions and Physical Demands:

  • Spends all their time in an office environment, either at their desk, or meeting with management or employees. Must be able to sit for long periods of time and execute computer work.
