Job Description - Preschool Early Intervention: Administrative Support

Job Title: Preschool Early Intervention Professional Support


Position Summary:
This position is responsible for providing clerical and administrative support to Preschool Early Intervention administrators in a variety of tasks with the primary function being to gather outside records for referrals, transferring and closing files in the program’s database and in the statewide database for supervisors, and supporting overflow of intake responsibilities. Checking and/or entering data into web-based tools, uploading documents into web-based tools, sending encrypted documents electronically to families, and communicating with field staff are required. This position requires strong communication/interpersonal skills, understands the importance of student and program confidentiality, and demonstrates strong organizational skills, and ability to work as part of a team. This position requires the ability to prioritize tasks, meet deadlines, and work under pressure as well as understand program needs and anticipate and respond accordingly.


Duties and Responsibilities:
1.Supports the Preschool Service Coordinator who is assigned On Records duties by creatingelectronic files for children and obtaining needed information from the referral source/family andentering these children into the program databases.
2.Supports supervisors with electronic file management.
3.Sends records to school district personnel and ACCESS billing department as requested.
4.Provides clerical and administrative support for program administrators.
5.Communicates with internal and external customers via telephone and email in a timely manner.
6.Maintains up to date records/files for the program by processing changes to child files inelectronic databases. Creates / manages filing system when necessary.
7.Works with other support staff to provide assistance in completing all tasks necessary for theEarly Intervention Program to function smoothly.
8.Works with all support staff and coordinators to problem solve program operations usingdiscretion for resolution of administrative problems.
9.Works with minimal supervision, prioritizes given tasks, and demonstrates strong problem-solving skills and professional judgment in interacting with team members and school districtpersonnel.
10.Acts as a responsible team member, performing additional duties as assigned by the Director orSenior Supervisor.

1.High School Diploma required; Business School or Associates degree strongly preferred.
2.Three years administrative experience required; experience in educational setting preferred.
3.Demonstrated expertise with Microsoft Office required (Word, Excel, PowerPoint); Publisher andGoogle Forms preferred
4.Ability and experience in working as a member of a team.
5.Self-motivator, independent, cooperative, collaborative, flexible, creative, and responsible.
6.Effective customer service, interpersonal, verbal and written communication skills required.
7.Ability to comply with the AIU Conduct policy

Additional Requirements:
1.Current Act 114, Act 34, Act 151 and NSOR Clearances required prior to an offer (Must be datedwithin 1 year of hire date).
2.School Personnel Health Record (Form H511.340) must be completed and received by HumanResources prior to hire date.
