PRINCIPAL CLERK & TYPIST
DIVISION OF PUBLIC HEALTH
CITY OF WORCESTER
The City of Worcester seeks qualified applicants for the position of Principal Clerk and Typist for the Public Health Division. The Principal Clerk and Typist will provide general administrative support and exemplary customer service in-person, by phone, and by email and is responsible for answering all incoming phone calls, monitoring the Division’s general email account, maintaining internal operational protocols, supporting the yearly tobacco retailer permit process, reviewing, and creating permits for funeral homes processing, and taking stock of supplies/managing general office purchasing needs.

ESSENTIAL ELEMENTS:
- Greet and direct/provide information to the public.
- Answer all incoming phone calls and triage to the appropriate department, division, and/or employee.
- Monitor the Health Division’s general email account and respond to and/or triage all emails to the appropriate department, division, and/or employee.
- Maintain internal operational protocols, such as conference room reservations, conference call number reservations, Microsoft Teams account usage and City vehicle usage.
- Support the Public Health Director with the Worcester Board of Health, this includes agenda development, meeting attendance, meeting minutes and general correspondence with the Board of Health members.
- Liaise between City departments to support internal Division operations at the Director’s request.
- Assist with scheduling of internal and external meetings as directed.
- Support the yearly tobacco retailer permit process including the application review and permit creation.
- Filing and scanning documents.
- Ordering and taking stock of office supplies /general office purchasing needs.
- Additional tasks as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge and experience providing excellent customer service.
- Prior accounting/bookkeeping experience, and basic math skills
- Ability to perform multiple tasks and maintain confidentiality.
- Ability to be a self-starter, analyze and interpret data.
- Ability to conduct independent research, and to prepare detailed and accurate reports.
- Ability to multi-task and prioritize responsibilities.
- Ability to work independently and to interact effectively with disgruntled members of the public, local officials, and department personnel.
- Ability to address questions and customer concerns via telephone, email, and in-person, in a consistently professional and courteous manner.
- Ability to work well independently and in a group setting.
- Ability to communicate and work effectively with diverse populations.
- Ability to operate standard office equipment.
MINIMUM REQUIREMENTS:
- High School diploma or equivalent
- Two (2) years of customer service and/or clerical experience in an office setting
- Demonstrated proficiency with Microsoft Office Suite
- Excellent verbal and written communication skills
PREFERRED QUALIFICATIONS:
- Associate degree in business/Public Administration or other related discipline
- Prior experience with the Workday Platform
SALARY RANGE: $21.87 - $26.48 hourly, full-time, excellent benefits package.
