Job Description - Process/Project Manager

Position Summary:

Rutgers, The State University of New Jersey, is seeking a Process/Project Manager for the department of Psychiatry at the Robert Wood Johnson Medical School. The Process/Project Manager will join the research support team in the Office of the Executive Chair of Psychiatry, reporting to the Chief Administrative Officer ( CAO ) and working in partnership with the Grants Administrators. The Process/Project Manager will conduct financial operations (e.g. payroll, cost transfers, etc.), account reconciliations, effort review and reporting, financial analysis and budget planning for sponsored projects, faculty research start-up accounts, and internally designated research support funds. Among the key duties of this position are the following:

  • Works collaboratively as part of the research support team reporting to the CAO to ensure sponsored projects, faculty research start-up accounts, and internally designated research support funds are managed in alignment with approved budgets, university policies, sponsor guidelines, and applicable laws and regulations.
  • Tracks faculty and staff effort allocations across funding sources and processes payroll changes (employee charging instructions) as directed. Calculates and projects for planning purposes effort and/or payroll modifications for compliance with sponsor salary caps, pro-rated funding periods, and for any other circumstances including strategic budgeting for optimized personnel funds management. Processes SWRJs and IPAS transfers as may be necessary.
  • Prepares effort reports in support of sponsored project progress reports and the university effort certification system. Prepares ECRT records for principal investigator certification.
  • Tracks expenditures versus budgets and prepares regular reports of current and projected funding availability across cost categories. Conducts end-of-budget-period and end-of-project financial reconciliations. Works with Research Financial Services on projects' re-budgeting when necessary and fiscal closing. Processes cost transfers and journals as may be necessary.
  • Prepares monthly reconciliations of faculty research start-up projects and related reports to the Dean's and Chancellor's Offices.
  • Communicates regularly with and is responsive to guidance and requests from faculty principal investigators and their staff with regard to management of their sponsored projects and faculty research start-up projects as relates to the above financial operations (e.g. changing effort across projects, reporting funds availability for planning of expenditures, etc.)
  • Supports the CAO in preparation and submission of the research-related annual department budget. Supports the CAO in financial analysis and reporting of department research-related funds and sponsored projects activities.

Minimum Education and Experience:

  • Bachelor's Degree in Business Administration, Accounting, Finance or a related field plus five (5) years of experience in budget preparation, administration and control, preferably at a medical center or an institution of higher education. 
  • Equivalent experience, education and/or training may be substituted for the education requirements.

  • Physical Demands: Standing, sitting, walking, talking, and hearing. No special vision requirements. Must be able to lift or exert up to 25 pounds.
