About the Role: We're currently seeking an Administrative Assistant to provide crucial support to our Procurement Team. As an Administrative Assistant, you'll handle a diverse range of administrative tasks while managing various responsibilities for our procurement and design teams. We're searching for someone who thrives in streamlining busy days, embraces chaos, and excels in a dynamic environment. We value individuals who are self-starters, exceptionally organized, highly adaptable, adept at fostering strong relationships internally and externally, and possess excellent communication skills. Key Responsibilities: Provide direct support to the Procurement Manager.
Manage emails for the joint email account of the Procurement and Design teams.
Plan and coordinate tasks for relevant parties.
Maintain efficient communication flow between stakeholders.
Ensure managers are equipped with all necessary information.
Assist in document management, compilation, distribution, and storage.
Aid in product tracking and vendor communication.
Create and send proposals to specific vendors, attaching quotes.
Adapt to various roles. You'll be able to juggle multiple tasks and pivot as priorities shift. As a growing startup, we're seeking individuals willing to lend a hand wherever necessary.
Estimate 10 hours per week part-time, $20-25 per hour.
About You: 4+ years of administrative experience supporting multiple team members.
Experience supporting multiple executives simultaneously.
Previous experience in a fast-paced startup environment.
Detail-oriented with exceptional organizational skills and a knack for operational processes.
Entrepreneurial mindset with a passion for taking ownership of tasks from start to finish.
Proficient in computer literacy, especially with Google Suite, or the ability to quickly learn.
Highly organized with the ability to efficiently prioritize a substantial workload.
Strong communication skills with the capability to engage with internal and external partners.
Comfortable working in an ambiguous, rapidly changing environment.
Self-motivated and thrives under pressure.
Innate problem solver with a genuine interest in learning through assistance.
