Job Description - Program Coordinator-

Location: Fully Remote

Work Hours: Monday to Friday, 8:00 AM to 5:00 PM

Job Description:

Under the general direction of the Program Director, the Remote Operations Associate collaborates with account management teams to facilitate new business processes, communication initiatives, and monitor key performance metrics. Serving as the primary contact for national sales inquiries, this role maintains meticulous data logs and ensures timely and accurate setup of new accounts within financial systems. Proficiency in Salesforce, CLM tools, and various database systems is essential for success in this role.

Primary Duties and Responsibilities:

  1. Assist the department Manager in day-to-day operations, including gathering critical client information, tracking progress, and delegating workflow directives to assigned associates.

  2. Demonstrate proficiency in Salesforce and CLM tools, effectively managing large volumes of email communications while multitasking.

  3. Contribute to the development, documentation, and upkeep of standard operating guidelines, procedures, and tools, streamlining account onboarding, management updates, and quality control reporting across programs.

  4. Execute tasks with precision, constructing periodic account dashboards and quality control reports to ensure accuracy.

  5. Proactively identify and propose process improvement opportunities to management, participating in defining, planning, and implementing solutions.

  6. Maintain a detailed schedule for each Salesforce work/case queue, tracking all essential activities and deadlines.

  7. Engage frequently with interdepartmental associates and management to resolve internal and external customer issues.

  8. Demonstrate strong analytical skills, swiftly analyzing data and situations to identify and resolve complex problems.

  9. Provide exceptional customer service, displaying strong problem-solving skills and focusing on delivering optimal solutions.

  10. Perform related duties as assigned.

Minimum Qualifications:

Experience and Educational Requirements:

  • Bachelor's Degree in business administration, accounting, sales, marketing, computer sciences, or related fields, or equivalent combination of experience and education.
  • Minimum four (4) years of progressively responsible experience, including at least two (2) years at a leadership level.

Minimum Skills, Knowledge, and Ability Requirements:

  1. Excellent customer service skills.
  2. Ability to manage multiple projects simultaneously.
  3. Thorough knowledge of business principles, processes, and technology.
  4. Strong interpersonal and relationship-building skills.
  5. Excellent oral and written communication skills.
  6. Proficiency in Excel and Microsoft Office Suite.
  7. Strong analytical, organizational, and problem-solving skills.
  8. Effective leadership skills.
