Job Description - Project Controls Administrator I I

GENERAL STATEMENT OF JOB DUTIES

The Project Controls Administrator I I contributes to the development and implementation of systems by track ing project life cycle performance utilizing document control and project management software including e-Builder and SharePoint . The individual supports the development and delivery of training for the systems' users and provides end user support to GoTriangle staff, consultants, and external projec t stakeholders. The position supports departmental management by developing and implementing processes and procedures for Project Initiation and Monitoring, Document Control, System Data Maintenance, Software Training, Project Status Reports , and monitoring user compliance . This position reports to the Director of Capital Development.

ESSENTIAL DUTIES AND RESPONSIBILITIE S

  • Supports management and staff to develop and implement best business practices and procedures that maximize utilization of e-Builder and SharePoint based project management and project controls systems.
  • Contributes to design and configuration of system processes and workflows to support tracking and responses to contractor and consultant submittals and RFIs.
  • Maintains project management and project controls systems (e-builder and sharepoint ) and supports documentation of workflows, processes, and procedures
  • Support s project managers, managers and directors by providing technical advice that ensures optimal use of software tools to help achieve on-time and on-budget goals.
  • Modifies the e-Builder and SharePoint interfaces to respond to user requests and/or project/program needs as determined by management.
  • Organize s and evaluate s data/ information; identifies data trends, synthesize s results.
  • M aintain s the standard project template library.
  • Supports cost data import process and ensure s consistency and accuracy between the e-Builder and ERP systems.
  • Create s database management and software reports to meet project/program needs.
  • Train s new users including consultants and contractors on the use of the e-Builder, SharePoint, and project controls system procedures .
  • Serve s as front-line contact for user requests and questions.
  • Establish es and monitor s access rights and security for users and p rocess es system access requests, update s user permission lists, and remove s inactive or terminated users.
  • Support s managers in developing and/or revisions to Work Breakdown Structures.
  • Audit s SharePoint sites and e-Builder system for compliance with established procedures and maintain s records of audits.
  • Assist s with Hardcopy documentation questions.
  • O ther duties as assigned.

MINIMUM QUALIFICATIONS AND REQUIREMENTS

  • Bachelor's Degree from an accredited college or university in Computer Science, Business Administration, Accounting, Finance, Information Science, Planning, Engineering, Construction Management, Architecture, or a related field, or equivalent experience.
  • Two years of related experience in a variety of project coordination duties including document and workflow management.
  • Proficiency in Microsoft Office 365, with demonstrated experience and/or expertise in SharePoint and Teams or equivalent.
  • Experience using document control system s using databases such as SharePoint or similar.
  • Experience using project management system s using software such as e-Builder, Aconex, or similar.
  • Advanced level skills using MS Excel.
  • Experience utilizing JSON, JavaScript, PowerApps , Power Automate, or other related web development solutions is preferred .
  • Intermediate written and verbal communication and interpersonal skills.
  • Excellent organizational skills in order to prioritize multiple tasks, develop, analyze and/or revise procedures, and meet deadlines.
  • Able to troubleshoot problems and develop creative solutions .

An equivalent combination of related education and experience may be substituted for the above stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

Working Conditions:

Works in an office environment where there is minimum exposure to dust, noise, or extreme temperatures . May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting operating facilities, during which the incumbent should observe all policies and procedures, safety precautions and regulations, and use all protective clothing and devices provided .

Works in an environment where there is minimum exposure to dust, noise, or temperature . May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting operating facilities, properties, construction sites, and potential properties during which the incumbent should observe all policies and procedures, safety precautions and regulations, and use all protective clothing and devices provided .
