JOB SUMMARY

The Qualifications Coordinator is the vendor qualification subject matter expert who leads continuous improvements relating to the overall qualification and life-cycle compliance of POET’s vendor accounts. The Qualifications Coordinator will provide key support to the Procurement and Finance teams in various related administrative activities and functions.

 

As a part of the Procurement Team, the Qualifications Coordinator will provide feedback and suggestions to improve business workflows, document management, data integrity practices and other relevant matters to promote world class execution. This position reports to the Purchasing Manager.

 

DURING A TYPICAL DAY

  • Manage the overall qualification and life-cycle compliance of POET’s vendor accounts.
  • Negotiate and secure non-disclosure agreements; collaborate with Legal and other key stakeholders.
  • Develop, train and oversee Qualification team members that are located nationwide. Lead regular large group and one-on-one meetings regarding processes, procedures, contract documentation and best practices for overall vendor account compliance and risk mitigation.
  • Train and advise POET team members enterprise-wide regarding vendor onboarding processes,
    life-cycle qualification requirements, and business workflows on a routine basis.
  • Be a knowledgeable point of contact for vendors who are working to become compliant with POET’s qualification requirements. Assist in answering questions and obtaining additional information.
  • Direct, negotiate, and secure vendor qualification requisites which include but are not limited to: qualification forms, non-disclosure agreements, certificates of insurance, third-party contractor management program compliance requirements, variances, and waivers.
  • Support the relationship with POET’s third-party contractor management program provider. Actively participate and engage with their personnel through regularly scheduled meetings and request expedited reviews of priority vendor accounts as situations arise.
  • Identify best practices, create and proactively update qualification training materials.
  • Promote and encourage adherence to POET policies and qualification requirements.
  • Investigate and seek innovation in creating and maintaining accurate records, contract and documentation management, software utilization, and business workflows. Make formal recommendations as applicable and actively participate with implementation and training as needed.
  • Balance multiple objectives to achieve department goals and manage stakeholder expectations.

STRENGTHS OF A SUCCESSFUL CANDIDATE

  • Associates Degree or above in a related field such as Supply Chain Management, Business Administration, Project Management, Legal Assistant, Paralegal, or Information Technology.
  • Minimum of 3 years’ experience in an administrative role that strongly required adherence to and compliance with numerous processes and procedures and required securing contracts, and other related information as well as frequently navigating non-standard situations.
  • Excellent problem-solving, organizational, time management skills, and interpersonal skills.
  • Ability to prioritize work independently in a fast-paced environment with numerous priorities.
  • Exceptionally detail orientated; can easily recognize and call out nuances.
  • Self-motivated with a willingness to embrace change and adapt strategies as needed.
  • You communicate effectively in writing and in person.
  • Leading, guiding and training others daily is welcomed by you.
  • Preparing and giving presentations on a regular basis excites you.
  • You know the basics of Microsoft Office Suite. You’re capable of learning a broad array of new programs to utilize daily.
