Job Description - Assistant Manager, Dean's Office

Assistant Manager, Dean's Office (School of Social Work) Location Baltimore, MD :

The University of Maryland, Baltimore (UMB) is currently seeking an Assistant Manager to join the Dean's office of the School of Social Work. Reporting to the Dean of the School of Social Work, the Assistant Manager is responsible for assisting in the management of the day-to-day administrative support and oversight of the Dean's office. The Assistant Manager provides daily administrative support including general secretarial and bookkeeping activities, such as record maintenance, documentation preparation and dissemination, unit budget, calendar planning, inventory and space maintenance, etc., to ensure an efficient office.

The Assistant Manager is responsible for applying specialized and theoretical knowledge, principles, and concepts of a professional discipline normally acquired through advanced education or specialized training. This includes applying in-depth, expert level knowledge, concepts, principles, and skills. Examples of such abilities include resolving issues and significant matters on behalf of the Dean and Senior Leadership team by utilizing independent judgment, discretion, creativity, and analytical thinking. The Assistant Manager contributes to development and evaluation of goals and objectives including those outlined in the School's strategic plan. The position will support strategic initiatives, creating, implementing, and analyzing surveys, and updating the progress made on the website and other locations.

The position independently manages or administers programs, processes, projects, or resources. They will have a wide latitude in decision making to interpret unclear or inadequate guidelines and confers with the Dean only on controversial or far-reaching matters. To make such decisions, the Assistant Manager will proactively resolve broad and unique matters requiring expert and sophisticated analysis and interpretation. The position acts as an expert resource to others.

Essential Functions:

  • Manages and maintains daily office operations and administrative support staff, requiring prioritization of a variety of tasks.
  • Utilizing a triage approach, handles and/or redirects issue(s) as appropriate, ensuring the most effective use of resources within the Dean's office.
  • Prioritizes and coordinate meetings, conferences, events and appointments within the Dean's executive office. Prepare background materials as needed. May take minutes at these meetings as needed.
  • Organizes calendars maximizing use of technologies to ensure efficiency of communications. Responsible for accuracy of the Dean's calendars, and ensuring that various scheduling is handled with a sense of urgency as appropriate; maintains appropriate record-keeping systems in conjunction with scheduling.
  • Supports strategic planning efforts including developing, implementing, and analyzing surveys of faculty, staff, or students.
  • Monitors the office budget and expenses, ensures timely reimbursements, and manages the Dean's travel.
  • Occasionally serves as a liaison to faculty, staff, students, alumni, Board of Advisors, and the general public for the Dean's office.
  • Serves as the liaison with the Provost office with the use of Interfolio for faculty reviews.
  • Participates in special projects, and performs other administrative duties having a significant impact on the overall goals of the Dean's Office.
  • Supervises staff providing a variety of high-level administrative support (including travel arrangements) to the Dean and other Associate Deans; serves as a backup to these functions as needed.
  • Oversees recruitment, performance, and training of any team members, identifying strengths and challenges of staff to maintain a well-trained, highly involved, and motivated team.
  • Represent the Dean's Office at internal/external meetings or committees as assigned.
  • Performs other related duties as assigned.
Qualifications

Education: Bachelor's degree.

Experience: Two (2) years related administrative or business operations environment supporting an executive.

Supervisory Experience: One (1) year of direct supervision involved in recruitment, training, and professional development of staff.

The Hiring Range for this position is $84,000 - $90,000 per year, commensurate with education and experience.
